Notifying Coworkers When a Job, Submission, or Placement is Added or Edited
Overview
This article explains how to use an internal distribution list to send notifications to users when a job, submission, or placement record is added or edited.
Steps
- Click + Add at the top of the screen, then select Distribution List.
- Enter a name for your distribution list and set the Type drop-down to Internal.
- Enter the users you want to include in the Members field.
- Save.
- To send a notification to these users, enter the name of the distribution list into the Distribution List field on the Add / Edit screen for a job, placement or submission.
- To notify individual users, use the Internal User field.
- To notify individual users, use the Internal User field.
- When you save the record, the users on the distribution list will receive an email notification.
Making the Notification Field Default to an Internal Distribution List
For jobs, submissions, and placements you can create an internal distribution list that will auto-populate to the notification field each time a record is added or edited.
- Start by adding the Distribution List using the + Add button.
- Set the Type to one of the following, depending on which record type you want this to populate for:
- Add the internal users to the Members field and save.
The distribution list type Internal will not auto-populate in the notification fields, you must use Internal - Job, Internal - Submission, or Internal - Placement.
What if I have two distribution lists of the same type?
Only one distribution list will auto-populate in the notification field. If you create two distribution lists of the same type, such as:
- List 1 - Type: Internal - Submission
- List 2 - Type: Internal - Submission
Then the system will default to the first distribution list created. If you change List 1 to a different type, then List 2 will automatically take the previous list's place for all future Submissions.
