Using Notes
You can create and edit notes attached to a record directly within the record. You can also reference entities related to a record using the “@” and “#” functions, and provides a space to quickly view and access multiple new or existing notes.
This is automatically available in Novo. S-Release requires a separate enablement for Quick Notes at no additional cost.
When creating notes, keep in mind that they can only be added to people records, such as candidates and contacts. In this example, when we add a note to a job record, it is instead being associated with the job record, but added to the appropriate contact record. Despite this, notes added to (and thus associated with) a job or placement record will still appear in the record’s preview slideout.
To Add a Note
From the record, select the Actions drop down, then choose Add Note.
- S-Release: You must use the Notes tab on the slideout from the list view.
In the Comments field, begin typing the contents of your note.
- Use the “@” symbol to reference specific candidates, contacts, and leads.
- The “@” symbol can also be used to reference distribution lists or colleagues. Doing so sends an email notification to that user or group of users.
- Use the “#” symbol to directly reference a job, opportunity, or placement record
When “@” or “#” are used, a drop-down of potential matching records will appear. If you hover over the color-coded drop-down icon to the left of an entity, you can preview it. The more characters you add to your “@” or “#” entity search terms, the narrower the results will be based on what you’ve entered.
From the Note Action drop-down, select the note type.
Add any Additional References.
Under Schedule Next Action select the applicable action.
Save to lock in your note.
- If you selected Add Task or Add Appointment as a Next Action, a corresponding window will open where you can enter the appropriate information.
- You view and edit the note from the Notes tab within the record. On this tab, Notes can be filtered by Primary Department, to enable this functionality reach out to Bullhorn Support.
- Your note will also display from within the record’s preview slideout. The “@” and “#” references are clickable links that open the referenced records.
To Edit a Note
Existing notes can be easily edited, altered, and saved. From the Notes tab, select the Actions drop down to the left of the desired note and click Edit. The Edit Note window will appear.
Note: When editing a note with “@” or “#” references, the references are shown in the Additional References field, while the Note field displays standard text. Once changes are saved, references will continue to display as clickable links from the preview slideout as long as note text is not altered. |
Working with Note Drafts
Note drafts save only from the Notes tab within a record, not from the preview slideout. They save after anything is added to the note, such as: comments, about, additional references, note actions, etc.
Drafts are stored in your computer's local cache. If you delete your cache you're also deleting your note drafts, so ensure you save any notes prior to clearing cache.
