ATS Users

Overview

This article outlines how Bullhorn Automation syncs ATS users as candidate and contact Owners in order to personalize communication as well as steps for user management.

Owner Information

ATS users are key to ensuring that all communication sent using Bullhorn Automation is personalized. Bullhorn users are added to Bullhorn Automation as Owners. They are automatically synced from your ATS to ensure they are always accurate and only active users are added. 

To find the Owner information, go to Settings > ATS Settings > ATS Owners.

Owner information is used to personalize messages sent to a contact or candidate, and when sending notifications or tasks to the Owner. 

Disabling Owners

If there are users in your organization whom you do not want messages being sent from, you can disable those users in Bullhorn Automation. Common examples of this are "House Recruiter", "New Lead", or your CEO who used to recruit and still has candidates assigned to them. 

To disable ATS Users as Owners in Bullhorn Automation:

  1. From Bullhorn Automation, navigate to Settings.
  2. Click the name of the user you wish to modify.
  3. Move the slider under Should this user be active to red.

Once an Owner has been disabled, Bullhorn Automation will use your Owner Assignment Rules to determine who to send the message from. Contacts and candidates without a valid owner will be evenly distributed among these users as they enter Bullhorn Automation. These Owners will be used to send messages and receive notifications about their contacts.

To see which users have been disabled, check the box for Include Inactive at the top of the ATS Users section.

User and Admin Permissions

The two roles available are:

  • User: Can create Automations, Emails, Email Templates, Lists, and Surveys. Can access Email Builder Library, View metrics, view and search for Candidates/Contacts located in Bullhorn Automation.
  • Admin: Can do everything a User can do, as well as edit company branding, add email templates, change company or ATS settings, add new users, and determine/create ownership assignment rules.

Inactive ATS Users

Once a user account is locked in Bullhorn ATS, they are treated as an inactive user even if they haven’t been disabled.

  1. From Bullhorn Automation, navigate to Settings.
  2. Click Include Inactive to display inactive users.
  3. Click the name of the user you wish to modify.
  4. Toggle their Bullhorn Automation status to Active.

Update a User’s Calendar Link

To add or update a user’s calendar link (for use with the %OWNERCALENDARLINK% merge tag), follow these steps:

  1. Navigate to SettingsBullhorn.
  2. Click the user's name.
  3. Enter the calendar link into the Add Your Calendar Booking Link field.
