ATS Users

User Management in the ATS Tab

Below the Integration Settings button, there is a list of users imported from the ATS. These users can be leveraged for ownership rules, task assignments, notifications, and other automation functions.

The user list has a search function that allows for filtering by typing in a name. If you would like to see inactive users click the box to include inactive.

User List Columns

The user list includes the following columns:

  • Name: The name of the user as stored in the ATS.

  • ATS Status: The user's status in the ATS.

  • Bullhorn Automation Status: The user's status within Bullhorn Automation.

  • Calendar Status: Possible statuses include Active, Pending, Invited, Not Invited.

  • Owner Assignment RulesClosed: Specifies any Owner Assignment Rules that specifically set that user as an owner.

  • Contacts from ATS Owner: The combined number of Candidates and Sales Contacts owned by the user in Bullhorn Automation, based on their Owner Assignment Rule configuration.

  • Contacts from Last Note: The number of contacts associated with the user based on the last note added.

  • Contacts from Last Placement: The number of contacts associated with the user based on the last placement made.

  • Contacts from Last Submission: The number of contacts associated with the user based on the last submission made.

  • Contacts from Round Robin: The number of contacts assigned to the user through a round-robin distribution method.

 

Disabling Users

If there are users in your organization you don't want messages to be sent from, you can disable those users in Bullhorn Automation. Common examples of this are "House Recruiter", "New Lead", or your CEO who used to recruit and still has candidates assigned to them. 

To disable ATS Users as Owners in Bullhorn Automation, do the following:

  1. From Bullhorn Automation, navigate to Settings.
  2. Click the name of the user you wish to modify.
  3. Move the slider under Should this user be active to red.

Once an Owner has been disabled, Bullhorn Automation will use your Owner Assignment Rules to determine who to send the message from. Contacts and candidates without a valid owner will be evenly distributed among these users as they enter Bullhorn Automation. These Owners will be used to send messages and receive notifications about their contacts.

Inactive ATS Users

Once a user account is locked in Bullhorn ATS, they are treated as an inactive user even if they haven’t been disabled.

  1. From Bullhorn Automation, navigate to Settings.
  2. Click Include Inactive to display inactive users.
  3. Click the name of the user you wish to modify.
  4. Toggle their Bullhorn Automation status to Active.
