Building Lists based on Bullhorn Automation Activity

Overview

If you want to know who unsubscribed from a particular email campaign, or who clicked on a specific link, there's a section of Bullhorn Automation criteria you can use for this. This article outlines the following:

Bullhorn Automation Activity

The Bullhorn Automation Activity area of your list and search criteria contains a variety of options relating to automation activity. We’ll break down each option below.

Tip:

We recommend starting these searches from the Contacts > Advanced Search area of Bullhorn Automation, rather than the Add List area. This allows you to see which records are meeting your criteria as soon as you hit search, and you can still Save as List directly from there once you're happy with your criteria. See Exporting Data From Bullhorn Automation for more information.

  • In List: Records that are in an existing Bullhorn Automation list.
  • Not in List: Records that are not in an existing Bullhorn Automation list.
  • In Automation: Records that are currently "Active" within an automation and have not reached an End Automation step.
  • Completed Automation: Records that have reached the End Automation step within an Automation.
    • If you don't have an End Automation step within your automation, you will need to use the ‘In Automation’ criteria instead.

Survey Activity

  • Submitted Survey: Records that have answered all required questions and pressed Submit in the survey you specify. You can segment this further by specifying questions and answers as part of your criteria, and by including a Within Last X Days time frame.
  • Taken Survey: Records that have answered any of the specified survey questions, and do not need to have pressed Submit. You can segment this further by specifying questions and answers as part of your criteria, and by including a Within Last X Days time frame.
  • Has Not Taken Survey: This will show you all records who have Not Taken the Survey. You can segment this further to find records that may have Taken the Survey, but not answered one question in particular, and by including ‘Within Last X days’ time frame.

Has Activity / Does Not Have Activity

Emails

  • Opt Out: Records that have opted out of receiving Bullhorn Automation emails. You can segment this further by specifying the email(s) they have opted out of, and by including a Within Last X Days time frame.
    • Does Not Have Activity > Opt Out will display the opposite results.
  • Bounce: Records that have resulted in a hard or soft bounce when Bullhorn Automation attempted to send emails to them. You can segment this further by specifying the email(s) that bounced, and by including a Within Last X Days time frame. See Bounces - Soft vs Hard for more information.
    • Does Not Have Activity > Bounce will display the opposite results.
  • Click: Records that have clicked on a link from a Bullhorn Automation email. You can segment this further by specifying the email(s) they have clicked from, the URL portion of the click, and by including a Within Last X Days time frame.
    • Does Not Have Activity > Click will display the opposite results.
  • Open: Records that have opened an email you have sent to them. You can segment this further by specifying the email(s) they have opened, and by including a Within Last X Days time frame.
    • Does Not Have Activity > Open will display the opposite results.
  • Send: Records that are subscribed to Bullhorn Automation email and have completed a "Send Email" step within an automation. You can segment this further by specifying the email(s) they have been sent, and by including a Within Last X Days time frame.
    • Does Not Have Activity > Send will display the opposite results.

Text Messaging

These options are relevant if you have text messaging enabled within Bullhorn Automation:

  • Text Response: Records that have replied to a text message sent from Bullhorn Automation. You can segment this further by specifying the text message(s) they have replied to, and by including a Within Last X Days time frame. You can also specify the content of the text responses.
    • Does Not Have Activity > Text Response will display the opposite results.
  • Text Send Automated: Records that are subscribed to Bullhorn Automation Test Messages and have completed a "Send Text" step within an automation. You can segment this further by specifying the text message(s) they were sent, and by including a Within Last X Days time frame.
    • Does Not Have Activity > Text Send Automated will display the opposite results.
  • Text Bounce: Records that have resulted in a bounce when you’ve attempted to send them a text message. You can segment this further by specifying the text message(s) that bounced, and by including a Within Last X Days time frame.
    • Does Not Have Activity > Text Bounce will display the opposite results.
  • Text Opt Out: Records that have opted out of receiving text messages. You can segment this further by specifying the text message(s) they opted out from, and by including a Within Last X Days time frame.
    • Does Not Have Activity > Text Opt Out will display the opposite results.
  • Text Send Manual: Records that have been successfully sent a text message via clicking Reply on a message within the Candidate/Sales Contact Activity Feed on their profile. You can segment this further by specifying the text message(s) they were sent, and by including a Within Last X Days time frame.
    • Does Not Have Activity > Text Send Manual will display the opposite results.
  • Text Click: Records that have clicked on a link from a text message sent via Bullhorn Automation. You can segment this further by specifying the text messages(s) they clicked from, the URL portion of the click, and by including a Within Last X Days time frame.
    • Does Not Have Activity > Text Click will display the opposite results.

Combining Criteria - Example Use Cases

To return all records you've attempted to send an email to, that didn't receive a bounce, use the following criteria:

  • Has ActivitySend
  • Does Not Have Activity > Bounce

To return all records that have been sent an email, but did not engage by clicking a link, use the following criteria:

  • Has ActivitySend
  • Does Not Have Activity > Click

To return all records that have viewed a job but didn't apply, use the following criteria:

  • Has Activity > Job View
  • Does Not Have Activity > Job Apply

FAQ

How can I remove a candidate from a list if I log an action against their profile?

Bullhorn Automation knows to remove the candidates from the automation if they no longer match the list based on the What should happen to candidates if they no longer match the lists? setting:

Is there a way to alert owners when their clients open or click on an email?

You can set this up by selecting Has Activity > Open then selecting which email you want to track opens for. You can also track clicks using the logic: Has Activity >Click

After setting up this list, add it to a new sales contact based automation, and add a Send Notification step. The automation will alert the client owner of that particular activity.

When does Bullhorn Automation track a Job View or Job Apply?

Job view or Job apply are only captured if a Candidate accesses the website via a link in an email sent through Bullhorn Automation. They don’t have to click on a specific link. If they click any link from a Bullhorn Automation email, we store the candidate info in a cookie and will track job views, applies, and page views for all their activity on the website from that point on. If they don’t initially access the website via a link in a Bullhorn Automation email, their activity won’t be tracked.

How often are lists updated?

For active lists, any time a record update is processed from the ATS, the change will be run against active list criteria to update the list.

If a list is not associated with an active automation, owner assignment rule, or smart token, it will only update during the nightly sync process or when it is manually saved. This conserves processing power for actively used lists during business hours.

Time-based lists will sync at 10 a.m. and 10 p.m. local time twice a day.
