Email Settings, Previews and Tests Within your Automation
Overview
This article explains how to fine-tune email settings, preview and test your emails.
Email Settings
Once you’re happy with the content and aesthetics of your email, go to the Settings tab directly from the email step. This is where you can define a host of options related to your email send-outs.
Subject
Here, you can enter what you’d like your recipients to see in the subject line of the email. Using dynamically populated merge tags will give your emails that relevant and targeted quality that ensures they always get opened! You could arrange that every candidate receives a vacancy notification specific to their particular industry, or inform a Sales Contact about candidates coming on to the market that have the specialist skills you know they recruit for. For trickier groupings that aren't necessarily linked by field, you can use Smart Tokens here too.
The merge tags you have available from the drop-down menu are linked to the automation’s entity, so you won’t find Placement details in a Candidate-based automation, or vice versa.
From
The From field allows you to set who the recipient will view as the sender. This could be the Submission owner recruiting for a position, or the Candidate owner, for example. The options in this field depend on which entity the automation is based on.
Here too, you can use User Smart Tokens to display contact details based on connections that don’t fit neatly into your ATS’s field mappings, such as area or branch managers.
If you want to send something from your generic "info@" address, such as a newsletter, or right-to-work documents from your HR department, select Generic Email from the drop-down menu. This will expand to give you the option of adding an email address that doesn't belong to a dedicated Bullhorn Automation user, as well as choosing a name to appear in the From field. Make sure it's coming from a domain you own!
Attachments
Under Attachments you'll find a Select File button that allows you to upload and send a specific file with every email. This can be used for anything from employment contracts or timesheets to client terms and conditions. Preview
Clicking on the Preview tab will take you back to the email builder, where you can see how your email will look to a recipient. Moving the slider from Desktop to Mobile allows you to see how your emails will display on different devices.
Send Test
When you're ready to test, click on Send Test and you’ll open a separate tab where you will enter an email address for Bullhorn Automation to send a test to.
For the quickest results, we recommend using a personal email address here. Corporate ones often take longer to arrive as they navigate through company IT policies.
Bullhorn Automation gives you the option to add a specific record to the test. This blends in the merge tags and smart tokens of a record to your test email and shows you what the email will look like to a particular Candidate or Sales Contact. This can give you the extra reassurance you need before finally pushing the button!
You don’t need to enter a specific record here. If you leave it blank, Bullhorn Automation will randomly select a record to fill the tags, just so you get the general picture. If Bullhorn Automation does randomly select a record for you, there’s no guarantee it will be a record from your current list or automation.
Entering a record into the merge tags box will also populate the Merge Tags Preview section at the bottom of the page. This lets you test the validity of your chosen tags without even sending anything at all.
