Adding the Screener Engagement to an Automation

Once your Screener Engagement is created, you can deliver it to candidates automatically by adding it to an automation. This allows you to run pre-screening or re-engagement campaigns hands-free, helping your team identify qualified candidates quickly.

Common Use Cases for Screener Automations

Candidate-Based Screeners

Used primarily for pre-screening leads before they’re submitted to jobs. These screeners are typically tied to an Evergreen job with general or universal questions.

Examples:

  • Screen new applicants from job boards (e.g., candidates added less than 1 day ago AND source is "LinkedIn" or "Indeed")

  • Run re-engagement campaigns for candidates who haven’t had activity (no notes, no placements, no submissions) in a certain timeframe

Submission-Based Screeners

Used when candidates are already submitted to a specific job. These screeners dynamically pull job-specific details.

Examples:

  • Automatically screen candidates once they’ve been submitted to a job

  • Provide a more tailored, job-specific screening experience based on the actual job requirements

Steps to Add a Screener to an Automation

Create an Automation

  1. Go to Automations and click Add Automation.

  2. Choose your Automation TypeClosed When selecting an automation type, there are two options: Standard and Center on Date Field. The Standard option means that the list(s) alone will control who enter the automation. The Center on Date Field option, in addition to list criteria, controls entrt based on a relative date.:

  3. Choose a Record Type:

    • Must be a Candidate or Submission.

  4. Name your automation.

  5. Click Save.

Build or Select a List

Pick a list that aligns with your engagement goals:

Candidate-based examples:

  • Added less than 1 day ago

  • Source is “LinkedIn” or “Indeed”

  • No notes/placements/subs in X months

Submission-based example:

  • Filter by Job ID used in your Screener Engagement

Add the Screener Step

  1. After selecting your list, click the + icon to add a new step.

  2. Choose Send Engagement.

  3. In the Engagement Type select Screener.

  4. From the Screener drop-down choose the Screener you previously created.

  5. Choose a Delivery Method:

    • Text Message

      • Choose From:

        • From Existing: Create a text message starting from a copy of an existing text message

        • From Scratch: Create a text message starting from a copy of an existing text message

    • Email

      • Choose from:

        • From Existing: Create an email starting from a copy of an existing email

        • From Template: Create an email starting with an email from your template library

        • From Scratch (Drag and Drop): Create a rich email using the drag and drop builder

          • Creates a button to start the chat, leave it.

        • From Scratch (Plain Text): Create a simply email like you’d send from your personal email using plain text

          • Populates the URL from the screener settings, leave it

  6. Click Save.

  • Keep your Evergreen job descriptions generic and reusable.

  • Use clear screener names so they’re easy to identify in the automation dropdown.

  • Use merge tags in messaging to personalize the experience for each candidate.
