Configuring AI Auto Match
Bullhorn Automation’s AI Auto Match feature, combined with its messaging capabilities, offers a comprehensive solution for matching top candidates to job openings and maintaining clear communication throughout the recruitment process. By following these steps, you can enhance your efficiency and effectiveness in identifying and engaging with the best candidates for your roles. Setting Up AI Auto Match
- Create a Job-based automation.
- Create a list of Jobs you want to match Candidates to, and save the list to your automation.
- Add the Match Candidate step. This will automatically add a pre-configured Send Notification step to notify recruiters.
- If that doesn't match your workflow, you can delete it.
- Configure the Match Candidate Settings.
- Define how many candidates should be matched to the job, with a maximum of 50 candidates per job.
- You can also set a percentage threshold to determine how closely a candidate’s profile should align with the job requirements (e.g., 90% or 75% match).
- Additionally, you can restrict matches to candidates within a certain mile or kilometer radius from the job location, using postal or zip codes.
- Filter Candidates:
- You can refine the candidate pool by selecting specific lists, such as active candidates who are not currently placed or involved in other recruitment workflows. This ensures that only the most relevant candidates are considered for the job.
- Handling Re-entry Settings:
- If a job re-enters the automation, you can specify how the system should handle it, such as matching additional candidates if the initial pool was too small.
- Creating Submissions:
- Once candidates are matched, you have the option to automatically create submissions in Bullhorn. These submissions can be categorized with specific statuses, helping you keep track of them within your system.
Messaging Matched Candidates
After setting up your AutoMatch criteria, the next step is to communicate with the matched candidates.
- Creating a Submission-Based Automation:
- To begin messaging matched candidates, create a new submission-based automation. This ensures that the messages are sent based on the AutoMatch results from the previous step.
- Choosing Message Formats:
- Bullhorn Automation offers several messaging options, including HTML emails, plain text emails, and text messages. You can select the format that best suits your communication needs.
- Targeting Candidates:
- Use candidate-based criteria to target your messages effectively. For example, you can choose to only message active candidates who have been matched to jobs through AutoMatch.
- Customizing Message Flow:
- You can add additional steps to your automation, such as updating candidate records, adding notes, or sending surveys to pre-qualify candidates for specific roles.
- Managing Multiple Submissions:
- If a candidate is matched to multiple jobs, Bullhorn Automation allows you to limit messaging to one email or text message per day, ensuring candidates are not overwhelmed by multiple communications.
Testing and Finalizing Your Automation
- Test the
- Do not remove the %MOSTRECENTAUTOMATCHES% merge tag, as this is used to populate a list of your matched candidates.
- Only the Immediate Notification option is available for this feature.
Settings. This allows you to quickly see who would be matched based on the settings you just configured. Open the pre-configured Please review %JOBTITLE% notification step and edit to your liking. - Send a test notification email to yourself with a specific Job selected to review a set of matched Candidates.
- If applicable, configure any re-entry settings for the Job record in the main Automation Settings area to your liking. You might use this if you want to match the top ten candidates on the first day a job is open then go to the next best ten until you get the job filled.
- Select Job and associated Sales Contacts if using re-entry here.
- Save the settings and turn on the automation.
