How the Screening Agent Works

This article outlines how the Screening Agent works. The Screening Agent automates AI Screening to deliver a fast, consistent experience that benefits candidates and recruiters.

It follows this process:

  1. A new job enters the ATS (manually or automatically through an integration).
  2. The job enters Bullhorn Automation and is updated with screening questions. These questions include default questions and AI-generated questions. You can add, remove, or modify these questions in the following ways:
    • Automatically: Bullhorn Automation automatically creates questions without any user interactions.
    • Manually: You can view, edit, or create questions on the Screening Questions tab within the ATS.
  3. Submissions enter Bullhorn Automation and are invited to take the Screening Agent based on your configured rules. The invitation is usually accompanied with “Thank you for applying, the next step in our process is to do a brief interview with our Virtual Recruiter”.

    Here are some examples of configuration options for candidates invites:

    • New Applicants: Invite anyone who applies to the job to take the screening.
    • Auto-match: Let Bullhorn identify the top candidates for the role and invite them.
    • Manual submissions: Manually submit candidates of your choosing to the job, then they receive an invite.
  4. Candidates receive the invitation to take the screening and click a link to begin. There are two types of screening to choose from:
    • Chat-only: This includes a three-step chat screening process:

      1. Candidates begin the screening with the default screening questions you configure.

         

        • Are you authorized to work in the US?
        • What is your zip code?
        • What is your desired pay?
      2. The candidates answer dynamically-generated questions.

      3. The candidate answers the post-ending questions that you configure.

    • Chat and screening: This includes chat questions and a voice screening:

      1. Candidates begin the screening with the default screening questions you configure.

      2. Based on how candidates answer the screening questions, you can configure the Agent to continue with the screening process or end the chat.

         

        • Are you authorized to work in the US?
          • If "Yes", the candidates continues the screening.
          • If "No", the candidate is thanked for their time and the chat ends.
      3. The candidate begins a conversation with the voice screening agent and answers dynamically-generated questions.

      4. The candidate is prompted to ask the voice screening agent their own questions.

        • The answers to these three questions come from the job description, other selected fields on the Job, and a FAQ that you can build and load into the Agent.

        • The most common questions candidates ask are around salary, remote/onsite, details about the job, and next steps in the hiring process.

  5. Following the screening, a report is sent that provides a score and details about the screening. This information is also saved to Bullhorn ATS as a note.
    • The score is based on how well the candidate answered the screening questions AND how well their profile matches the job information.
    • The report includes a summary of the conversation, an analysis of their answers, and key areas for improvement. It also includes a complete transcript of the call.
      • The report is sent as an email (you define recipients) and saved as a note.
    • The data saved back to Bullhorn ATS is saved as a note which is associated to the candidate and submission. Screening score, status, duration, and candidate are saved back to the ATS submission record.

    The summary isn't sent to the candidate.
