Stipend / Per Diem Configuration

Overview

This article contains information on how Stipends / Per Diems are calculated based on Per Diem Rulesets. Per Diem amounts can be prorated depending upon hour worked thresholds.

Earn Code Configuration

Earn Codes for stipends must be configured in Bullhorn Time & Expense prior to time being submitted:

  1. Navigate to Maintenance > Administration > Adjustment Codes.
  2. Select the codes related to the per diem setup.
  3. Check the Is Per Diem box.
  4. Select Save to confirm your changes.

Per Diem Configuration

  1. Navigate to Maintenance > Administration > Per Diems.
  2. Configure the Per Diem Ruleset with the appropriate information:
    • Ruleset Name
    • Ruleset ID
    • Per Diem Code
    • Threshold Hours: Threshold hours are specified based on hours and percentage of full per diem value.
      Examples:
      • If a candidate works between 0-4 hours, they receive 0.0% of the total per diem.
      • If a candidate works between 4-6 hours, they receive 0.15% of the total per diem.

  3. Select Save to confirm your changes.

Placement Configuration in Bullhorn ATS

In Bullhorn ATS, when configuring the placement for stipends / per diems, it's important to keep the following in mind:

  • The stipend / per diem ruleset is associated with the placement
  • Stipend / per diem earn codes are added to the rate card

When the placement is sent from BH - BTE, the assignment in BTE is stamped with the PerDiem ruleset.

Timesheet Calculation in Bullhorn Time & Expense

When time is entered in Bullhorn Time & Expense, per diems will automatically be calculated based on the per diem ruleset attached to the placement record.

The per diem is calculated at 100% based on the per diem ruleset.

If time is adjusted below the 100% threshold set up in the per diem ruleset, the per diem will be recalculated. In the above example, 8 hours were removed from the timesheet. Per Diem is recalculated, at .80% of the total amount.
