Timesheet & Billable Charges with Customer Required Fields

Customer Required Fields (CRF) are used to track custom data points against time worked and use those data points to manage invoice presentation. CRFs can be configured per Company to ensure you are able to meet the specific needs of each client. CRFs are also configured at the Placement to ensure that each Placement/Candidate has the specific set of options to select from during time entry without needing to filter through options that are not applicable to them or the work they are performing.

  • Billing Specialists: Ability to Split, Group, and Summarize invoices by CRF data, providing more flexibility during invoicing and better customer service for your customers. Customer Required Fields can also be tracked through financial reporting.
  • Recruiters: Streamline Placement management by tracking multiple CRFs and their options on a single Placement.
  • Candidates: Categorize work performed when entering time.

Customer Required Fields must be enabled to use Purchase Orders. See Purchase Orders for more information.

Bullhorn Time & Expense

When employees enter time, they will select the appropriate CRF options. Placements using CRFs only have In and Out options. The option to add a meal is hidden.

Adding Transactions

In Bullhorn Time & Expense, open the Employee Time Card and select Add Transaction.

Users with the entitlement to add/edit CRFs will be able to add In & Out Time Entries and set the appropriate CRF for the time.

CRFs can only be used for billable Earn Codes. Pay only Earn Codes do not use CRFs.

Editing Timesheet CRFs

In Bullhorn Time & Expense open the Employee Time Card and navigate to the CRF Tab. This tab will show all of the assigned CRFs and the submitted time.

Users with the entitlement to add/edit CRFs will be able to make changes to the CRF fields selected.

Approval

When timesheets are sent to approvers, they will click the Approval Application link. Here they will see a Customer Required Fields column for placements using CRF functionality. This is view only.

Viewing Timesheets with CRFs

Timesheets that include CRFs can be viewed on the Timesheets List View slideout and on Timesheet Detailed View.

Viewing CRFs on the Timesheet Slideout

  1. Navigate to Menu > Pay & Bill > Timesheets.
  2. Select the Binoculars next to the timesheet.
  3. On the slideout under Billable Transactions, there is a CRF column.
    • Hovering over the CRF will show all of the CRFs that were entered for this time entry.
    • Hovering over the REG (Hours) will show a breakdown of all the CRFs used in this timesheet.

Viewing CRFs on the Timesheet Detail

  1. From the Timesheet list, click on the Timesheet ID to open a detailed view.
  2. Expand the CRFs column to view more.

Viewing Billable Charges with CRFs

The CRFs can be viewed on Billable Charges. These can be opened from the Billable Charge List or by clicking on the Charge ID on the Timesheet.

  1. Navigate to Menu > Pay & Bill > Billable Charges.
  2. Select the Binoculars next to the Billable Charge.
  3. On the slideout under Billable Transactions, there is a CRF column.
    • Hovering over the CRF will show all of the CRFs selected on this Billable Charge.

Viewing CRFs on the Billable Charges Detail

  • From the Billable Charge List, click on the Billable Charge ID.
    • This can also be accessed from the Timesheet by clicking on Charge ID.
  • On the Timesheet, there is a column for Customer Required Fields that can be expanded to view more.

Invoice Terms: Split By, Group By, Summarize By

Bullhorn One's Split By, Group By, and Summarize By functionality allows you to choose what data gets displayed on your invoices, and which fields determine how your data is segmented on the invoice. The fields, and their corresponding functions, are as follows:

  • Invoice: Split By
  • Invoice Group: Group By
  • Invoice Line: Summarize By

This feature is configured on the Invoice Terms.

Many different Split/Group/Summarize configurations can be created to meet your customer's needs. CRFs have been added to the entities that can utilize this functionality.
