Validate VMS Sync Submittals for Jobscience

Do the following to ensure VMS Sync Submittals is functioning correctly in Jobscience:

  1. In Salesforce, navigate to a job created by VMS Sync.
    • You can also navigate to an application associated with a Sync job.
  2. Confirm the job is in a submittable status. To be submittable, the following must be true:
    • The job is from a VMS that supports submissions, including Fieldglass, Beeline, Pixid, and Healthtrust.
    • The job's status isn't On Hold, Filled, Closed, or Canceled.
    • Its Opening Count is not 0.
  3. Click the VMS Submit button.
  4. (Skip this step if submitting from application) In the Create VMS Submittal modal, do the below:
    1. Type a candidate name in the Candidate field.
    2. Select the appropriate candidate record from the list.
    3. Click Create.
  5. Observe the following on the Create VMS Submittal form:
    • Associated company, job, and candidate records will show as hyperlinks at the top of the form.
    • Clicking a hyperlink opens the record in a new tab.
    • Clicking Show Only Required Fields will hide any fields the VMS doesn't require a user to populate to submit.
    • Required fields are indicated with a red dot to the left of the field.
    • Clicking Show All Fields shows all available submission fields.
    • Select fields are automatically populated with values from the ATS Candidate, VMS Requisition, or VMS defaults.
    • Fields with validation text present in the VMS will display these details in red under the field.
    • Fields with hint text present in the VMS will display these details in a gray pop-out to the right of the field when a user hovers their cursor over the field.
    • Clicking the Resume or Attachment field will prompt you to select a file from your local (desktop) storage.
    • Clicking Cancel will navigate back to the job record.
    • Clicking Submit will launch a confirmation modal.
      • Click Cancel to continue editing the submission form.
      • Click Submit to complete the submission.
        • The VMS submission progress tracker stages include:
        • Creating candidate
        • Uploading resume
        • Uploaded resume
        • Submitting
        • Found link to submittal
        • Submittal Successful!
      • Click Done to exit.
  6. Observe that the ATS Submission record was created.
    • Observe candidate, job, and Company is associated with the submission.
  7. The following VMS submission updates should flow to the ATS submission record:
    • Comments
      • Includes Rejection Reason and Notes
    • Status
  8. Confirm that Submittal Flow is configured to receive updates to the fields.
