Changing a Placement's Timesheet Cycle

This is Time & Labor functionality. To have Time & Labor enabled, contact your Account Manager.

A Timesheet Cycle is the defined period a weekly timesheet is set to record. For example, many timesheet cycles run from Saturday through Friday. Timesheet cycles correlate to the Week Ending Day, which would be Friday for this cycle example.

Timesheet cylces may need to be changed for any of the following reasons:

  • The Placement is being extended, but the Clock Site and/or Department is changing.

  • The Client requires a new Timesheet Cycle for an existing Placement.

Follow the steps below to change a Placement's Timesheet Cylce.

You do not need to follow the process below if:

  • The Timesheet Cylce is incorrect, but the Placement has not entered any time.

  • A Placement needs to be extended, and the Timesheet Cycle is not changing.

Ending the Original Placement (Incorrect Timesheet Cycle)

The original Placement with the incorrect Timesheet Cycle must be ended. If the Placement was not ended, and the Timesheet Cycle field was updated instead, any processed time is at risk of recalculating and causing payroll and billing errors.

  1. In ATS, navigate to the Placement.

  2. Click into the Edit tab.

  3. Update the Scheduled End Date field to reflect the day the Timesheet Cycle change should occur.

  4. Click Save.

Creating the New Placement (Correct Timesheet Cycle)

Next you'll create a new Placement to correct the issue without causing discrepancies on existing data from the old Placement.

  1. Navigate to the Job.

  2. Select Action > Add Placement.

  3. Fill out the appropriate fields to create a new Placement for the Candidate. The start date for this new Placement should be the day the Timesheet Cycle change should occur.

    Ensure this new Placement has the correct Week Ending Date and Timesheet Cycle fields filled out.

Upon creation, the new Placement will automatically flow into BTE. Placements using Web Time Entry may need to find the new assignment. If a Placement is still seeing the old assignment, have them follow the steps in Search For More Assignments.
