Editing Invoices

Certain data can be edited on Invoices both before an after finalization. Edit access is based on your user entitlements. Once an Invoice has been finalized, only non-financial fields can be edited with the correct permissions. This article covers how to edit Original Invoices, Credit Invoices, and make Mass Invoice updates.

Editing Original Invoices

Follow the steps below to edit original invoices. The fields are able to edit will be dependent on the status of the Invoice. After an Invoice is Finalized, only non-financial fields can be edited.

If edits are made after Finalization, the Invoice is automatically regenerated and must be resent manually.

Edit Invoice Details

  1. Navigate to the Invoice List.
  2. Open an original invoice by clicking on the invoice number.
  3. Select the Edit tab.
  4. Update the invoice information as necessary.
  5. Select Save to confirm your changes.

Edit Line Item Descriptions

  1. From the invoice Details tab, locate the Line Items section.
  2. Select the Edit icon next to the invoice line and click Edit Line Description.
  3. In the Edit Line Item slideout, enter a new Description and Comment.
  4. Select Save to return to the Invoice.
  5. Select Save again to confirm your changes.

Editing Credit Invoices

Credit Invoices can be updated in the same fashion as original invoices; however, the fields available under the Edit tab are limited to the Remit Instructions and Invoice Statement Date.

Mass Updating Invoice Date

 

  • The invoice cannot be in the "Finalized" status.
  • You can only update 500 records at a time.
  • You can update the dates for both original and credit invoices.

With the proper user entitlement, you can update the dates of multiple invoice statements at one time via the Invoice List. If you are unable to mass update the invoice dates, contact Support to review your settings.

  1. From the Invoice List, check the box next to one or more invoices to update.
  2. Select Actions / # Selected > Update Invoice Statement Date.
  3. In the pop-up that appears, enter a new Invoice Statement Date.
  4. Select Update Invoice Statement Date to confirm your changes.

You must have the appropriate action entitlements in order to work with Invoices. If you are unable to complete the steps above, contact Bullhorn Support to review and adjust your action entitlements.
