Compliance Workflow Overview

The credentialing process in Bullhorn is designed to be seamless, ensuring that candidates are fully prepared and compliant with job requirements before they begin their placements. This workflow outlines the steps from job creation in the Applicant Tracking System (ATS) to ongoing compliance monitoring during a candidate's placement. Each step is automated where possible, reducing manual input and ensuring accuracy at every stage.

  1. Job Creation in ATS: A recruiter, account manager, and/or VMS Sync creates a new job in the ATS. Bullhorn Automation then applies the appropriate unique credential requirements to the job.
  2. Candidate Profile Update: As candidates are shortlisted for the job, they are prompted (via Automation or direct recruiter action) to update/create their profiles in the Talent Platform.
  3. Credential Request: Recruiters request the necessary credentials from candidates based on the job's requirements. Candidates are notified to complete these tasks through the Talent Platform. It is best practice to disable the Talent Platform New Task Notification and have Bullhorn Automation manage that task. If it is enabled it will send an individual notification for every request and is not grouped.
  4. Credential Submission and Review: Candidates complete the required credentialing tasks in the Talent Platform. These tasks return to the ATS under the candidate's credential requirements with a status of Needs Review.
  5. Verification and Submission: Recruiters review the submitted credentials in the ATS and update their status to Current. Candidates are then submitted for the job, and upon acceptance, the job credentials automatically transition to placement requirements and Dynamic Match matches the candidate's existing credentials against placement requirements and vice versa.
  6. Placement and Compliance: As the candidate moves into placement, Bullhorn Automation alerts the candidate of any new tasks required for the placement. The credentialing specialist reviews and manages the credentials via the Compliance Manager to ensure all requirements are met before the candidate begins work.
  7. Ongoing Compliance: Throughout the candidate’s placement, Bullhorn Automation continues to monitor credential statuses, alerting the candidate of any expiring credentials that need updating.

The statuses used throughout the workflow can be customized.
