Overtime Rules

Overview

This article will examine the Overtime Rules section of the Admin tab. Profiles created here can be edited and later assigned to placements to automatically calculate overtime based on their hours worked.

About Overtime Profiles

You may have as many Overtime Profiles as you need and they will be displayed however you name them in the Profile editor. Triggers can be set by day or week and either Overtime or Doubletime.

Using rules created by an administrator, Bullhorn Back Office calculates overtime / doubletime hours in one of two ways:

  • By weekly hours; meaning, at the end of the week, BBO calculates any hours worked past the weekly total dictated by the overtime rules and counts them as overtime.
  • By daily hours; meaning, at the end of the day, BBO calculates any hours worked past the daily total dictated by the overtime rules and counts them as overtime. At the end of the defined work week, these daily calculations are summed into a weekly total.

BBO determines which of these ways to calculate based on what would allow the employee to be paid more. For example:

Assume the overtime / doubletime rules are set as:

  • Overtime after 8 hours per day.
  • Overtime after 40 hours per week.

If an employee has worked three 14-hour days (totaling 42 hours for the week), using the weekly hours calculation, they would only receive 2 hours of overtime pay. However, using the daily hours calculation, they would receive 18 hours of overtime pay. Therefore, BBO will calculate this employee’s overtime using daily hours.

Conversely, if an employee has worked six 8-hour days (totaling 48 hours for the week), using the weekly hours calculation, they would receive 8 hours of overtime pay. However, using the daily hours calculation, they would not receive any overtime pay. Therefore, BBO will calculate this employee’s overtime using weekly hours.

Steps

Creating or Editing an Overtime Profile

  1. First, select Overtime Rules from the Admin drop-down.
  2. Either select an existing overtime rule from the drop-down, or click the Create New Overtime Rules Profile to create a new one.

  3. To begin adjusting your profile, click Add Item.
  4.  Choose the desired criteria from the drop-down, and then specify the number of hours per day or week, and whether to pay Doubletime or Overtime.
    • Day grants overtime pay for any daily hours over the selected amount.
    • Week grants overtime pay for any weekly hours over the selected amount.
    • Day of Week grants overtime pay for any hours worked on the chosen day.
    • 7th Consecutive Day grants overtime pay for any hours worked on the 7th day in a row, that are greater than or equal to the number of hours selected.
      • For example, this would give overtime for any hours worked on this day, and doubletime for any hours over 4.

  5. Once you are satisfied with the new profile, click Save.

Assigning an Overtime Profile.

  1. Navigate to the Placements tab and select the placement you wish to adjust.
  2. Scroll to the section for Bill Overtime Profiles and Pay Overtime Profiles.
  3. Either modify the initial rule to the desired Overtime profile, or you can use the Add Overtime Profile button to add a new profile along with a Start Date for when it will come into effect.
  4. Click Save on the placement to record your changes.
