Understanding Billing Profiles

A Billing Profile is a collection of billing details used to manage invoicing for a client. Billing Profiles are used to set up a collection of the billing details. Multiple profiles can be set up depending on the invoicing needs, such as direct hire invoices having different invoice terms than contract invoices. These can include:

  • What company to send the invoice statement to (Client vs. Bill To Client)
  • Which contact should receive the invoice at the company.
  • How the invoice statement should be addressed.

Benefits of Using Billing Profiles

Using Billing Profiles has many benefits: 

  • Provides flexibility to handle different invoicing requirements.

  • Ensures invoices are directed to the correct company and contact.

  • Keeps billing information consistent and organized across clients.

Actions You Can Take on Billing Profiles

You must have the appropriate entitlements to add, delete or edit Billing Profiles or Billing Profile Versions. Contact Bullhorn Support to update your access.

The following actions can be taken on Billing Profiles:

  • Creating a Billing Profile: Create a new Billing Profile to set up a new collection of billing details for a client.

  • Adding a New Billing Profile Version: Creating a new version of the existing profile retains a historical record of the previous version and the associated Job or Placement record will not have to be updated with a new profile. New versions with an effective date in the past will not impact existing invoices.

  • Deleting Billing Profile Versions: You can delete past Billing Profile Versions, but not the original Billing Profile. This helps to preserve data associated with Billing Profiles. You may need to delete a version if it was added by mistake.

  • Editing Billing Profiles: Billing Profiles can be edited, however you should only edit a Billing Profile if you do not need to preserve historical data associated with the original details. Otherwise create a new version.

Billing Profile Versions

If a Billing Profile needs to be updated, best practice is to create a new version instead of editing the original profile.

Creating a new version of the existing profile retains a historical record of the previous version and the associated Job or Placement record will not have to be updated with a new profile. New versions with an effective date in the past will not impact existing invoices.
