Shared Candidate Lists

Overview

Candidate list sharing allows you to share your candidate lists with your teammates. This article will guide you through how to add and remove team members from your lists and manage their access permissions.

Sharing Owned Lists and Editing Sharing Access

You can add, remove and edit permissions of team members sharing any list you own.

When you are on the Candidate Lists page, click on one of your lists and select the Share List icon, as shown below. This will open the Share List modal where you can manage your shared list settings.

When you are on a list page, you can also share the list by clicking on the top right Share List button.

Adding Teammates to a List

  1. On the Share List modal, use the Select Team Member search bar to find and select team members to share your list with.
    • The team members you select will appear on the Member(s) list below the name search bar.
  2. After adding all the team members you wish to share your list with, click Share List and they will all be given access.
    • Added team members will have "Can View" access by default.

All lists that are shared will have a Shared icon beside the list name on the Candidate Lists page.

Removing Teammates from a List

  1. On the Share List modal, click on the bin icon beside any team member you want to remove from your shared list.
  2. Click the Share List button to save your changes. Your list will no longer be visible to the removed team member(s).

Editing Team Member Access to your Shared Lists

On the Share List modal you can see a list of all team members sharing your list. Clicking on the Access dropdown gives the options of "Can View" and "Can Edit".

  • Team members with "Can View" access can view the list, but cannot add or remove any candidates from the list.
  • Team members with "Can Edit" access can view as well as add or remove candidates from the list.

To save any changes to access permissions, click Save Changes and your changes will be implemented.

Deleting your Owned Shared Lists

You can only delete a shared list individually; you cannot multi-delete shared lists.

  • You can delete an individual shared list from the Candidate Lists page by clicking on the list and then clicking the bin icon.
    • If you delete a shared list from the Candidate Lists page, the list will be deleted permanently and will be removed for all teammates you have shared the list with.
  • Alternatively, you can delete a shared list by clicking on the list’s name, then clicking on the top right ellipsis and selecting the Delete option.
    • This will open a modal with the options to either Remove and transfer ownership of the list or to Delete for all.

Transferring Ownership of a Shared List

You can remove yourself from a list and transfer ownership from yourself to another member of your team.

  1. Click on the shared list’s name and then click on the top right ellipsis and select the Delete option.
  2. A modal will open with the options to either Remove and transfer ownership of the list or to Delete for all. To transfer ownership, select Remove and transfer.
  3. A search field will open for you to select a team member to transfer ownership of the shared list.
  4. After saving the change, the shared list will now be owned by the selected teammate and you will no longer see this list on your Candidates List page.
    • All team mates currently sharing this list still have access and their access permissions will remain the same.

How do I Use a List Shared with Me?

If a list is shared with you, you will see it on your Candidate Lists page. Lists that are shared with you have a Shared icon with a "Shared with you" tooltip beside the list name.

"Can Edit" Access

A user with "Can Edit" access can complete all the same actions for this list as the owner apart from the following:

  • They cannot change their own access permissions for the list.
  • They cannot delete or transfer ownership for this list - they can only remove the list for themselves.

"Can View" Access

A user with "Can View" access has viewership access but cannot edit the list. Viewership access does not permit the following actions:

  • Renaming the list
  • Adding, deleting, or moving candidates in the list
  • Adding or removing team members sharing the list
  • Editing sharing permissions for anyone sharing the list
  • Deleting or transferring ownership for this list - the user can only remove the list for themselves.
