What is VMS Sync?

Bullhorn VMS Sync is an automation tool that processes Vendor Management System (VMS) job orders and submits candidates without leaving Bullhorn, closing the loop between the two so recruiters spend less time on manual data entry and more time placing candidates. VMS Sync helps you:

Use Cases

Here are just a few of the real-life use cases VMS Sync supports:

  • Automating Job Capture and Parsing: Customers use the tool to automatically capture VMS job orders and updates in real time. It includes AI-enhanced parsing that accurately translates healthcare VMS job details — such as categories, specialties, shifts, and rates — into the ATS, reducing the need for manual routing rules.

  • Proactive "Heads Up" Submitting: If a recruiter knows a VMS job is going to open soon, they can use the "Heads Up Submit" feature to build draft submittals in advance. Once the requisition is officially released and hits the ATS, the recruiter can import the drafts and instantly submit their candidates, reducing a process that typically takes 30-45 minutes down to just a few minutes.

  • Submitting Candidates in Bulk: The Quick Submit feature allows recruiters to submit all their candidates in quick succession without having to wait for the submission form to load or reload.

  • Eliminating Manual Data Entry on Submittals: Customers use Field Mapping and Submission Entity Mapping to automatically populate key fields on VMS submittal forms using data already residing in their ATS. Furthermore, recruiters can auto-populate attachments and data based on a candidate's last submission, saving time on repetitive data entry.

  • Streamlining Document and Attachment Management: Instead of just pulling from the main Candidate record, recruiters can use VMS Sync to attach specific documents from Candidates, Submissions, and local storage directly into the submission form.

  • Tracking Candidate Statuses in the ATS: VMS Sync pulls candidate submission status updates straight from the VMS into the ATS, allowing recruiters to see real-time updates without relying on client managers to manually update the system.

  • Self-Service Troubleshooting and Analysis: Customers can export their list of VMS jobs to a CSV file for data analysis and troubleshooting. They can also export their rules for review, manage their own VMS login credentials, and view "Credential Email History" directly within the tool to check for job updates, reset passwords, and troubleshoot login issues without outside help.
