Understanding Onboarding Terminology

What is Onboarding?

Onboarding is a custom solution for filling out PDF documents online. With Onboarding, you can create electronic versions of your documents so a user can submit their information online without the hassle dealing with paper forms, scanning, and OCR software.

Common Terms

  • Documents - Documents are the PDF forms that you upload into Onboarding. The system is set up to handle a wide variety of field types to encompass as many form types as possible.
  • Packets - Packets are groups of documents or folders. Packets are a convenient way to organize different Employee types, Company or State requirements.
  • Mapping - Mapping refers to the ability to add an input layer on top of a PDF form. In Onboarding, this is how the user enters form information electronically on documents that would normally need to be filled out by hand. Mappings are saved as fields and can be updated across a document. For example if an employee needs to enter their birth date twice on a form, when they update the first field, the following mapping will be automatically updated.
  • Fields - Fields are the different types of input choices a user can select. There is a wide variety of field choices in the Onboarding application to make different document fields easily editable.
  • Source - Fields can be set up so they automatically populate data that is already found in the various records in BBO/Onboarding. The source is the record from where the data is being pulled.
  • Document Status - As documents are being worked, they can appear in several different statuses in the Onboarding system.
    • Sent -the document has been assigned to the employee, but they have not yet opened or started working on completing it.
    • In Progress - the document has been opened by the employee, but they have not completed it yet.
    • Submitted - the document has been completed and sent to an Onboarding admin for approval.
    • Approved - An onboarding admin has reviewed and accepted the document.
