Permanent Placement Billing Summary Report

Overview

The Permanent Placement Billing Summary report provides a list of all perm placements details based on a Start Date range, including whether or not the placement fee has been invoiced, showing remaining balance left to bill and what has been billed.

Bullhorn Support is able to assist you with navigating the sample reports but are unable to build customizations on the reports for you. You'll need a Business Intelligence specialist who is familiar with writing database queries.

Running the Report

When you run the Perm Placement Billing Summary report, you are prompted to select a Placement Start Date range, along with the option to add additional criteria to return a more specified list.

Report Criteria

The following options are available as criteria:

  • Placement Status
  • Employment Type
  • Earn Codes
  • Date Added range
  • Placement ID
  • Client
  • Bill-to Client
  • Show only Non-Zero Unbilled Placement Fee
  • Show only Non-Zero Billable Charges to be Entered

Fields

The report then displays information on the following data within your system, grouped by client:

Data item in report Definition
Company Name The client's name
Bill-to Company Name The client's name that receives the invoices
Job Posting Client Contact Client contact responsible for the job posting
Job Posting ID Job posting's internal system ID
Job Title Job posting's title
Employment Type How the employee is hired (i.e. W2, IC, etc)
Placement ID Placement's internal system ID
Date Placement Added Date the perm placement was added into Bullhorn
Placement Status Status of the placement (i.e. Submitted, Approved, etc)
Candidate Name Candidate's name
Reporting to The client contact the placement reports to
Start Date Date the placement starts the position
Days Guaranteed Number of days the candidate is guaranteed for this job
Days Pro-Rated Indicates how many days the candidate must work before the Client Corp will be expected to pay a pro-rated portion of the fee.
Salary Annual salary defined on the placement
Placement Fee (%) Percentage of the salary that the staffing agency charges for the placement. This pulls from the placement record.
Placement Fee (Flat) Expected flat amount that the staffing agency charges for the placement. This pulls from the placement record.
Billable Charges to be Entered Difference between the expected placement fee and the total of all the billable transactions for that placement
Billable Charges Entered But Not Invoiced Total of transactions that exist on the billable charges list but that have not been added to an invoice
Invoices Created But Not Finalized Total of transactions that exist on the billable charges list and that have been added to an invoice, but the invoice has not been finalized
Total Unbilled Placement Fee The remaining unbilled balance based on the billed amount to date and the placement fee amountSum of columns: (Billable Charges Entered But Not Invoiced + Invoices Created But Not Finalized + Billable Charges to be Entered)
Invoiced Amount Total of transactions that exist on the billable charges list and are linked to a finalized invoice
Last Invoice Statement Number Invoice ID of the latest invoice finalized
Last Invoice Date Invoice date of the latest invoice finalized

If You Want to Change the Calculations

Bullhorn recommends making a copy of the sample report before editing so you can retain the original report. If you accidentally delete or overwrite the report, Bullhorn can restore the stock sample report for you.

For this specific report, data is drawn from Perm Placements - Billing Summary joined package. This joined package is comprised of the Placement Information package and Billable Transaction Information with Invoice Information joined package.

The Billable Transaction Information with Invoice Information joined package is comprised of the Billable Transaction Information and Invoice Information packages.

If you want to add any data items to this report, they must come from the Perm Placements - Billing Summary joined package under the Data Items tab.

When this report is modified, you are greeted with a prompt for a date range. This prompt is a validation check, the dates can stay the same and you can click OK to continue.
