Enable and Manage Referrals in Talent Platform

Referrals allow you to expand your talent network by turning existing candidates into a source of new leads. In Talent Platform, referrals can be collected directly through the Candidate Portal and managed in your Recruiter view.

Common Reasons You Might Manage Referrals

  • “I want to let candidates submit referrals through the portal.”

  • “I need referral notifications to go to a shared email inbox.”

  • “We’d like to customize the Comments field to collect specific information.”

  • “I need Work Type to reflect our business needs (e.g., industries or locations).”

Enabling Referral Collection

You can allow candidates to submit referrals directly through the portal.

Follow these steps to turn referral collection on:

  1. Navigate to Menu > Company Settings > System Settings > Employee Portal.

  2. Locate Disable Referral Collection.

    • If the toggle is on, referral submission is blocked.

    • If the toggle is off, candidates will be able to submit referrals.

Setting Up Referral Notifications

You can send referral notifications to one or more email addresses.

  1. Go to Configuration > Settings > System Settings > Notifications.

  2. In the Referral Notification Email List field, add one or more email addresses (separate each with a comma).

  3. Save your changes to begin receiving notifications.

Customizing Referral Fields

You can tailor referral fields to collect the most relevant information.

  • Comments field: Always displays as Comments in the Referrals tab, but you can customize what information is collected.

    • Go to Configuration > Settings > Translations.

    • Use the Search box to find “Referral.”

    • Update the Custom Value to reflect the information you want to gather.

  • Work Type field: Can be adapted to match your business needs, such as locations or industries.

    • Go to Configuration > Job Categories to edit available values.

Neither Work Type nor Comments can be set as Required fields.

Viewing and Managing Referrals

When a candidate submits a referral via their portal, the recruiter who owns the referring candidate will receive an internal notification. Follow these steps to view and manage referrals:

  1. Navigate to Applications > Referrals.

  2. Find a table listing all of the referrals submitted by current applicants. Each row displays key details including:

  3. Click the Actions icon (three dots) you can choose to Send Invitation. This will trigger a notification with a direct link that allows them to:

    • Sign up on the platform

    • Begin or complete their application.

This ensures recruiters can act on referrals quickly and efficiently, turning candidate networks into a steady pipeline of potential hires.

Troubleshooting Referrals

  • If referrals are not appearing in the portal: Confirm Disable Referral Collection is turned off.

  • If recruiters are not receiving notifications: Check the Referral Notification Email List in System Settings.

  • If Comments customizations don’t display: Verify your changes in Translations and refresh the portal.

  • If Work Type values look incorrect: Update Job Categories in Configuration.

  • If invitation emails are not sending: Make sure email templates are configured and active.

Can I change the label for “Comments”?

Yes. Use Translations to set a custom value, though it will still display as Comments in the Referrals tab.

Can Work Type or Comments be set as required fields?

No, neither field can be made required.

Who gets referral notifications?
