My Adapt: Journal
The journal is a history of all activities the user completes in Adapt for Candidates, Clients, Contacts, Job Orders and Assignments.
By default, the journal lists the most recent activities first in the list.
Grid Options
On the Journal grid, you can perform the following actions:
- Click on the highlighted record in the Notes column to jump directly to that record within Adapt.
- Click on any attachment to open the associated program in Windows and view the item. For example, if the attachment has a .doc or .docx suffix, clicking on it opens Microsoft Word (or whatever other program is associated with .doc or .docx suffixes).
- Click
to display all informational text about a journal entry (if the journal entry information is too long to be displayed in the grid). - Click
to add a journal note to the journal entry. - Click the Date/Time to jump directly to the Journal record itself.
Paginating Through the Journal
There are three ways to access various pages of the journal:
- Enter a page number in the Go to page field and then click Go!
- Click the Next page and Previous page links at the bottom of the grid to move to the next page (or previous page).
- Click > to move to the last page or < to move to the first page of the list.
Filtering the Journal Grid
To filter on the Journal grid, click the
button. This displays a window allowing you to filter based on the following:
- Date From: Enter a date range to show only journal entries that occurred between those dates.
- Workflow Name: Use the button next to the field to select the types of workflows you want displayed in the journal grid.
- Groups/Users: Use the drop-lists to select to see only journals associated with a specific group or user in the grid.
- Notes: Enter text in the field to only see those journal entries with notes that contain the specific text.
The various fields act based on AND logic. Therefore, if you select a date range and a workflow name, the journal entry must match BOTH criteria to appear on the grid.
Saving Your Filtering
To save your filter so that you can re-use the filtering later, click the button on the top left of the grid. Clicking the button displays a small menu. Under the My Views area are all your previously saved filters. Under the Shared Views area are saved filters that have been shared with you.
To save your current filter, click Save Current View and give the filter a name. It will now show up in the My Views area and you can access it at any time by clicking the view name.
If you want to remove any filtering and show all records, select Show All.
Changing Journal Settings
To change settings for the Journal Grid, click the
button. This opens a window displaying the following options:
- Show Journal For: Indicates whether you want to view journal entries associated with you (My Journal) or another user (User Journal). If you select to view the journal of another user, use the drop-list to select the username.
- View Detail: Indicates what sort of information you want to see in the grid.
-
- All: Displays all information about the journal entry.
- Simple: Displays the journal title and all associated records, but does not show notes or documents.
- Journal Notes: Displays the journal title, all associated records and notes, but does not show documents.
- Documents: Displays the journal title, all associated records and documents, but does not show the notes.
- Sort by Column: Indicates the order that journal entries are based on. You can select Date/Time, Workflow Name or User.
- Sort Order: Indicates whether records are sorted in descending or ascending order.
- Default Filter: Indicates which view is used by default when first viewing the journal grid. For example, if you set a custom filter and save it, you can use this field to select that view so that each time you access the journal, that view is used.
- Records Per Page: Indicates the number of journal entries that display on each page.
- Expand Notes: Checking this box causes the entire notes associated with the journal entry to display. If this is not checked, the system displays a limited number of characters in the notes (which can then be expanded on the grid, if desired).
- Show in Groups: Checking this box causes the journal grid to present data in groups based on the Sort selection. For example, if you select to sort by Date/Time, then the grid selects all journal entries that occurred on each day and displays them grouped together.
