Notification Types (Immediate, Daily, and Weekly)

Overview

Notification steps are widely used throughout Bullhorn Automation, but often we see teams only using one or two types of notifications. Here’s a brief explanation of setting up notifications that work for you!

Notification Types

Notification steps are in some ways very similar to the Email step, especially when using the Immediate notification type with the drag and drop email builder. Immediate notifications allow you to customize your colors and message and use merge tags, buttons or graphics. Daily/Weekly notifications behave slightly differently, and although they may not appear as customizable, they are still incredibly powerful!

Upon creating a Send Notification step, you’ll be asked if you’d like to use an Immediate, Daily, or Weekly notification type, and given the choice of using an existing notification as the base, or a template created by Bullhorn Automation.

Immediate Notifications

Immediate notifications are just that - immediate! If a record in your automation completes the notification step with this schedule, the email will be sent out to your internal user immediately following that step. These notifications can be personalized to the record using different merge tags. The template provided by Bullhorn Automation provides some basic merge tags to help you get started.

Daily Notifications

When selecting a Daily notification, don't overlook the blue description box outlining the sending window for this type. This includes important information about when the notification step will collect data and send that data to the selected user.

Bullhorn Automation will consolidate a list of any records that have completed this step within a 24 hour window. Using the predefined merge tag box will auto-populate a list to deliver to the selected internal recipient.

Because this box is pre-defined to allow for a list, you will not have access to merge tags to customize this section and you cannot customize the columns in the box. If you remove this box, the notification will not populate.

Weekly Notifications

Weekly Notifications behave very similarly to Daily, but their collection period ranges for one week instead of 24 hours. The templates are very similar, and this type of notification will also provide an explanation of collection and sending windows. This format will also be hard coded and contain preset merge tags and columns.

FAQ

I have a weekly notification and there’s a record listed that no longer matches list criteria, why weren’t they removed?

With Daily and Weekly notifications the list will contain all records that have completed that Send Notification step within the list time range.

For example, a candidate matches the list criteria on a Monday and completes the step. If they are removed from the list on Wednesday, they could still appear on the Monday list because they passed through the step within the last week.

I have a specific sending window in my automation settings, will that impact notifications?

No. Automation settings will only impact outbound communication using Send Email or Send Text steps. Notifications are considered internal communication and will follow the time frame listed in the blue boxes upon setup.

What is the best way for me to preview the preset box in a Daily/Weekly notification?

In order to see the format, we recommend sending yourself a test email. The test will consolidate a random group of records and place them in the list to be sent to your inbox. This could include records that do not match your criteria for test purposes.

Is there a limit on how many records show on a Daily/Weekly notification?

Yes, there is a 50 record limit on notifications. For a larger number of records run a search in Automation and export the list.
