Amplify Match Troubleshooting

If your automation isn’t creating matches or submissions as expected, don’t worry — this guide covers the most common issues with the Match Candidates step in Bullhorn Automation and how to resolve them.

These fixes apply to automations that use the Bullhorn Matching Engine to find and rank candidates for jobs in Amplify.

If you’re new to Amplify Match and want to learn how the Bullhorn Matching Engine works, check out the Amplify Match FAQ.

Issue: Records aren’t moving through the “Match Candidates” step

Possible cause:

The Automation API user may not have the necessary permissions to access the Bullhorn Matching Engine or view match results. Specifically, they might be missing the “View Autobuild” and “View Automatch” entitlements.

How to fix it:

Contact Bullhorn Support to review your Automation API user permissions and enable the missing entitlements. Once updated, records should progress through the Match Candidates step normally.

Issue: Records move through the “Match Candidates” step, but no matches are created

Possible cause:

The Match Candidates step requires a candidate list to be selected in its configuration. Without it, the automation doesn’t know which candidates to evaluate, resulting in zero matches.

How to fix it:

Edit your Match Candidates step settings and select a candidate list to define which candidates the system should compare against each job.

Issue: Records are moving through the Match Candidates step, but submissions aren’t created in the ATS despite using the "Create Submission in the ATS" feature

Possible cause:

The ATS has a 30-character limit for submission status names. If your “Create Submission in the ATS” configuration uses a status that exceeds this limit, the automation can’t complete the submission creation process.

How to fix it:

Shorten your submission status names to 30 characters or fewer. Then update the automation to use the revised status values before re-running the workflow.

Issue: I see matches on the “Suggested Candidate Matches” card, but no matches are being created in Bullhorn Automation

Possible cause:

The Suggested Candidate Matches card shows a preview of potential matches from your entire database. It doesn’t apply the same filters or settings (like distance or candidate list selection) that your Match Candidates automation step uses.

How to fix it:

Review your Match Candidates step settings:

  • Loosen any restrictive match criteria (for example, narrow distance ranges).

  • Update your Bullhorn Matching configuration to better align with your desired match parameters.

Issue: Search & Match results in the ATS do not match the "Matched Candidates" preview card in Bullhorn Automation.

Possible cause:

The preview card on the job record in Bullhorn Automation does not update in real time. It is only intended to show an example of the Match Candidate functionality, so it may not reflect current Search & Match results from the ATS.

How to fix it:

Use the Test Auto Match Settings button at the bottom of the Match Candidates step settings drawer to view accurate, up-to-date match results.

Issue: Different match results between Autobuild/Recommended Candidates and the Match Candidates step

Possible cause:

The Match Candidates step in Automation uses the same matching engine as Search & Match in Bullhorn ATS, so any filters configured in Search Admin apply to both.

However, if your Automation list adds additional filters on top of the Search Admin settings, the two systems will return different results.

If your Automation list only includes candidates with statuses New Lead and Active, but Search Admin is configured to include New Lead, Active, and Passive, then:

  • ATS will match candidates in all three statuses.

  • Automation will only match candidates in “New Lead” and” Active” statuses.

This is why Automation may return fewer matches than the Recommended Candidates card in ATS: Automation applies extra filters from your Automation list.

Different Sources of Match Results:

Source Filters Used Where Results Appear

Automation - Match Candidates Step

Search Admin filters plus Automation List filters

Notification and/or Submission Created

ATS - Autobuild and Automatch

Only Search Admin filters

Autobuild search results and Recommended Candidates card on Job record

How to fix it:

  1. In Bullhorn ATS, go to Menu > Admin > Search Admin (Admin access required).

  2. Select the Autobuild & Automatch Administration tab.

  3. Review the filters and settings under Autobuild and Automatch.

  4. Compare these filters with those applied in your Automation list, and make sure the two sets of filters are aligned so they do not conflict.

Once both Search Admin settings and Automation filters match, you should see consistent results between Autobuild and the Match Candidates step.
