Adding, Editing, and Canceling Shifts

Overview

With the Shift Scheduler you can add, edit, or cancel a shift (or multiple shifts) several different ways. This article provides the most common steps.

The Shift Scheduler is available in North America only.

Adding a Shift

  1. Select Scheduler from the Bullhorn Menu.
  2. Filter down to Jobs by clicking the briefcase button in View By.
  3. Filter down to the Job you are adding a shift for, and then click on the start date for your shift.
  4. From the dropdown click Add Shift. The Job you are adding a shift to must contain a valid zip code. If the Job doesn’t have one, you’ll be prompted to enter it.
  5. Fill out the fields in the Add Shift window:
    • Shift Position: An optional field that allows you to specify a job function to be done during a specific shift. For more information on Shift Positions see the Shift Scheduler FAQ.
    • Location: Prepopulates from the Company record the Job record is associated to.
    • Shift Name: Prepopulates with the name of the Job.
    • Shift Definition: An optional field that allows you to choose a Shift Definition to associate this Shift with. That will then populate the Start and End Times based on what is set on the Shift Definition. For more information on Shift Definitions please see the Shift Scheduler FAQ.
    • Repeats: This field allows you to select if the Shift repeats or not.
    • Shift Dates: If you've selected Weekly in the Repeats field then you enter then you will need to enter the days of the week that the Shift occurs here. If you've selected Does Not Repeat you can click each date on the calendar when the Shift occurs.
    • Shift Times: If you've selected a shift definition this will populate automatically, otherwise you'll need to set a start and end time for the Shift.
    • Openings: The number of candidates needed for each Shift.
    • Assign Candidates: If you are ready to assign a Candidate to this shift, enter their name in this field.

Editing Shifts

Updating shifts is usually done as a mass action. To mass edit shifts:

  1. Click on the Company name in the Company View of the Scheduler.
  2. Select the View Related Shift menu.
    • You should see a slideout with a 2 month view of all the related shifts.
  3. Select any number of Shifts in the table shown.
    • You can filter the table by selecting days in the calendar or by selecting an option in the table header.
  4. Click the Actions drop-down above the table.
  5. Choose the relevant option from the list and complete the required fields.

Canceling a Shift

Canceling a Shift is intended to be used when the Shift was requested but no longer needed, as it allows you to record why it was canceled and who canceled it. Deleting is for when a Shift was entered in error. To cancel a shift:

  1. Filter by Company or Job to find the Shift you want to cancel.
  2. Click the Shift and select Cancel from the options that appear.
  3. Select a Reason from the drop down menu.
    • This reason will be used to cancel any active assignments on the record.

Alternatively if you want to cancel an assignment:

  1. Navigate to the Candidate view.
  2. Filter by Candidate to find the Assignment you want to cancel.
  3. Click the Assignment and select Cancel from the options that appear.
  4. Select a Reason from the drop down menu.
