What you'll need

  • Your active placement status value (typically Approved or Active)
  • A mid-assignment check-in email template for the contractor
  • Optional: a timecard reminder email template if your contractors submit weekly timecards
  • Optional: a recruiter alert template for when a contractor has not opened any emails — an early warning signal for dissatisfaction

Build it

  1. 1

    Create a placement-based date-based automation

    In the Automations tab, click + Add Automation and select Blank Automation. Choose Placement as the entity type and select Date-Based. If prompted, select Candidates as the type of contact. Set the trigger date field to Start Date with an offset of 30 days after. Give the automation a name and save.

    Build an Always Updated list

    Set the list to Always Updated. Add condition: Placement Status = your active placement status. Add a second condition: Start Date is after the date you plan to activate this automation.

    Add a Send Email step

    Send your first mid-assignment check-in email to the contractor. Keep it brief and genuine — a short message asking how the role is going is more effective than a long newsletter.

    Add a Wait step

    Set a wait of 30 days before the next touchpoint.

    Add a second Send Email step

    Send a follow-up touchpoint. This could be a referral request, a reminder to submit timecards, or another check-in with a different angle.

    Optional: add a recruiter notification if emails go unopened

    Alert the record owner if the contractor has not opened any emails after the second touchpoint. Non-engagement can be an early indicator of dissatisfaction or a pending fall-off.

Pair with the welcome sequence

This automation is designed to pick up where the New Placement Welcome Sequence ends. Because it is date-based and triggers 30 days after the placement start date, it fires relative to when the contractor actually starts — not when the placement record was created. If you have not built the welcome sequence yet, start there first.

How to measure it

Track these metrics to confirm the automation is protecting revenue and reducing contractor fall-off:

  • Email open rate: whether contractors are engaging with your outreach during the assignment. A sudden drop in open rate for a specific contractor may signal disengagement worth a recruiter call.
  • Contractor fall-off rate: percentage of placements that end before the agreed end date. Compare this rate before and after activation to measure whether proactive communication is reducing early exits.
  • Redeployment rate: percentage of contractors who go on to a second placement. Contractors who feel supported during an assignment are more likely to work with your firm again.
  • Contractor satisfaction score: if you include an NPSClosed Net Promoter Score. A metric used to measure customer satisfaction, loyalty, and enthusiasm. or satisfaction survey step in the workflow, track scores over time. A declining score is an early signal worth investigating before the placement ends.
