Service rating requests

A few days after a placement ends, ask the client contact how the candidate performed and how the agency delivered. High scores lead to a Google review request; lower scores trigger a private recruiter alert to follow up before feedback goes public.

Pair with the candidate-facing version

This recipe collects feedback from the client contact. For the candidate-facing version — where you ask the placed candidate how their experience went — see the companion Testimonial Requests recipe. Both can run simultaneously on the same placement.

What you'll need

  • Placements with an End Date set in Bullhorn, filtered to a status that confirms the placement has concluded (for example, Completed or Ended)
  • A Sales Contact assigned to each placement record — this is who receives the survey
  • A client-facing survey using a Rating or NPSClosed Net Promoter Score. A metric used to measure customer satisfaction, loyalty, and enthusiasm. question type so the response can drive a branch
  • Your agency's Google Business Profile review link for the high-score follow-up email
  • A Placement Owner assigned to each placement record so the low-score notification reaches the right recruiter

Build it

  1. 1

    Create a Sales Contact-based placement date automation

    In the Automations tab, click + Add Automation and select Blank Automation. Choose Placement as the entity type and select Date-Based. When prompted for the contact type, choose Sales Contacts. Give the automation a name and save.

    Set the anchor date and trigger timing

    Set the anchor date to End Date and configure the trigger to fire three to five days after the end date. This gives the client time to reflect on the completed engagement before the survey arrives.

    Build an Always Updated list

    Set the list to Always Updated. Add condition: Placement Status equals your completed or ended status value. Add a second condition: End Date is after the date you plan to activate this automation.

    Add a Send Survey step

    Select your client-facing satisfaction survey. The survey step sends the link immediately; the automation continues and the branch below handles routing based on the response whenever the client submits it.

    Add a Branch step based on rating

    After the survey step, add a Branch. Configure two paths: one for clients who give a rating of 4 or 5, and one for clients who give a rating of 1, 2, or 3. Clients who do not respond do not trigger either branch. To follow up with non-respondents separately, build a second list using Has Not Taken Engagement criteria referencing this survey.

    Configure the high-score branch

    For clients who rate their experience 4 or 5, add a Send Email step with a thank-you message and a direct link to leave a Google review. Keep it brief: acknowledge their positive feedback and make the review link easy to find. See the sample email below for a starting point.

    Configure the low-score branch

    For clients who rate their experience 1, 2, or 3, add a Send Notification step directed to the Placement Owner. Include the client's name, the rating, and the placement details so the recruiter has full context for the follow-up call. Handling lower scores internally gives your team the chance to address concerns and protect the client relationship.

    Save and activate

    Test with a recently ended placement before activating at scale. Confirm the survey sends at the right time, the branch routes correctly based on a test response, and the recruiter receives the notification on the low-score path.

How to measure it

  • Survey response rate: the percentage of client contacts who complete the satisfaction survey. A low response rate may indicate the survey is too long, the timing is off, or the relationship with the client contact needs attention.
  • High-score rate: the percentage of respondents rating the experience 4 or 5. Track this over time and segment by recruiter, industry, or placement type to identify patterns in service quality.
  • Review click rate: the percentage of high-scoring clients who click the Google review link. This tells you whether the follow-up email is compelling enough to convert a positive survey into a public review.
  • Low-score follow-up rate: how often recruiters contact the client after receiving a low-score notification. Closing the loop on negative feedback is as important as generating positive reviews — and is often what saves the client relationship.
