Account Basics

Overview

Bullhorn for Salesforce uses the Salesforce standard Object Account to store information about individuals or companiesClosed A Company is the organization where the contact works. This can also be called the Client. for which you recruit.

Salesforce offers two types of AccountsClosed A business entity/company:

  • Business Accounts: Used to store information about companies.
  • Person Accounts: Used to store information about individual people.

Bullhorn for Salesforce users mainly use Business Accounts.

Account Fields

For the Account Object, Bullhorn for Salesforce utilizes Salesforce standard fields. The page layout and field-level security settings determine which Account fields are visible and editable. You can find detailed information on Salesforce standard Account fields in Salesforce’s own online resources at http://help.salesforce.com.

If your System Administrator has set up Record Types, you can be prompted to choose a Record Type when creating an Account. Different Record Types can have different fields and different picklist values.

Account Details

The Account Details section gives structured details about the Account, such as:

Billing Address Information

The Billing Address fields on the Account record will be linked to any JobClosed A job (vacancy, position, role) is an opening for which a customer's client needs a placement. record associated to the Account. When a candidateClosed A person looking for a job. A candidate can also be referred to as a Job Seeker, Applicant, or Provider. is placed on a job, the Billing Address field on the Closing ReportClosed Fifth Stage of Job placement flow, a Candidate that reaches the Closing Report Placement stage has been assigned to a job. In BH4SF, a 'Closing Report' is a record that captures all the information related to the newly filled position (name of Candidate, position, salary, start date, which recruiter gets credit for the hire etc.) record will pre-populate with the address from the Account record. The data in the Account Billing Address fields is also used to calculate the geo-coordinates of  the Job location, which in turn is referenced in Search and Match, when matching candidatesClosed A person looking for a job. A candidate can also be referred to as a Job Seeker, Applicant, or Provider. to jobsClosed A job (vacancy, position, role) is an opening for which a customer's client needs a placement. based on location.

Use the AccountSite field to designate different locations of the same company. For example, if Acme.com has offices in both Paris and London you would create two Accounts, both called Acme.com, but with Account Site values of Paris and London, respectively.

Hiring Manager

On Account records, a Related List shows the Hiring Managers designated for that Account.

A Contact on an Account is included in the Hiring ManagerClosed The person that approves/rejects Consultant's Timesheets/Expenses (usually a Client Contact, or Hiring Manager) Related List when the Contact's ClientClosed A Company is the organization where the contact works. This can also be called the Client. Status picklist shows one of these values:

  • Active
  • Past
  • Prospect

A Hiring Manager is always a Client ContactClosed A contact (or client contact) is the person who the recruiter is working with at a Company. In Talent Rover a Contact can be either a Client Contact or a Candidate Contact. Both types of Contacts are stored in the same object (Contact)., but a Client Contact is not always a Hiring Manager. The Hiring Manager field is also used on Job Records.


Default Account

When a Contact is created as a result of resume parsing, the Contact should be associated to an Account. Salesforce considers ContactsClosed A contact (or client contact) is the person who the recruiter is working with at a Company. In Talent Rover a Contact can be either a Client Contact or a Candidate Contact. Both types of Contacts are stored in the same object (Contact). that are not associated to an Account as Private and restricts access.

In Bullhorn for Salesforce you can set up a default Account which will automatically populate the Account field on Contact records created via parsing.

Admin Note:

  1. Create an Account. Often this Account is called Candidates. Ensure that users are aware of the function of this Account record, so it is not re-named or changed.
  2. Navigate to Setup > Custom Settings > Talent Rover Properties
  3. Click on Manage Records.
  4. Mark the Assign to Default Account While Parsing checkbox.
  5. Enter the RecordID of your default account in the Default Account field.
