Multi-Signers Roles
When sending forms that require multiple signers in Talent Platform, each signer role name must be unique across all templates used in the same signature request. Using the same role name more than once (for example, "Approver" or "Reviewer") can cause HelloSign to group them together, which may result in:
-
One of the signer roles being dropped from the request
-
Only partial delivery of forms to a signer
-
Unintended behavior in the signing process
Why Unique Role Names Matter
HelloSign uses signer role names to manage who signs what. When multiple forms with identical signer role names are bundled into a single request, HelloSign treats them as the same role, even if they’re meant to be separate. This can disrupt the flow and prevent documents from being signed correctly.
How to Update Your Forms
To avoid issues when using multi-signer forms:
-
Make sure each signer role has a unique name across all forms sent together.
-
Avoid using the same role name on different templates that could be sent together.
-
Rename roles based on their specific purpose or order:
-
Instead of “Reviewer,” use “Reviewer 1” and “Reviewer 2.”
-
Instead of “Approver,” use “HR Approver” and “Manager Approver.”
Do not check the box for Set Signer Order.
