Sending Onboarding Requests - Candidate Record
Admin and Recruiter users can send the following to candidates by utilizing Onboarding Requests:
- Packages
- Forms
- Screening Packages
- Screening Services
- Credentials
- Skills Checklists
- Placements
Steps for Sending
Follow these steps to send a workflow request:
- Open the Candidate record in .
- Navigate to the Onboarding tab.
- This can also be done from the Applicant (or Candidate or Talent) Customer talent - the person applying or hired for the job record within the Talent Platform.
- Select +New Request from the left side menu or select +NEW ONBOARDING REQUEST from the candidate/applicant record.
- Select the forms and/or packages to be sent.
- If any Requester fields are present in the forms those must be completed in the Workflow Details section.
- In the Workflow Details section check the box for Alert Me When Complete? if a notification is needed.
- Click Send Workflow The action used to initiate the sending of Forms and Packages.
Resending a Workflow
Recruiters can easily resend a workflow notification to prompt the next person in line to sign the document. This could be the candidate, a second signer, or an authorized representative. To resend a workflow, follow these steps:
- Locate the relevant onboarding workflow, either on the Onboarding Dashboard or within the Applicant’s profile.
- Click the three dots (Actions menu) next to the workflow.
- Select Resend from the menu.
This action will trigger a new notification to the designated signer, keeping the onboarding process on track.
Reordering a Workflow
If a workflow has not yet been completed, recruiters have the option to reorder the same package. Reordering clears out specific fields, such as the Date of Birth (DoB) and Federal ID (Fed_ID), allowing the candidate to re-enter this information.
Why Reorder an Existing Workflow?
Reordering a workflow is helpful if a candidate realizes they’ve entered incorrect information, like an incorrect DoB or Fed_ID, or if any part of the request needs correction. By reordering, the recruiter can reset the workflow, enabling the candidate to update their details without starting from scratch.
Imagine a candidate has already signed their paperwork, but the authorized representative has not yet signed. The candidate contacts the recruiter, saying, “I noticed a mistake in my paperwork, could you resend it?” In this case, the recruiter can reorder the workflow, allowing the candidate to update the information and seamlessly resume the process.
Steps to Reorder a Workflow
- Locate the relevant onboarding workflow, either on the Onboarding Dashboard or within the Applicant’s profile.
- Click the three dots (Actions menu) next to the workflow.
- Select Reorder from the menu.
This action resets the workflow for the candidate, enabling them to make necessary corrections and continue with the onboarding process.
