Mass Placement Application

This application supports both Bullhorn ATS and Bullhorn One users.

Overview

The standard Mass Placement application allows Bullhorn One and Bullhorn ATS users to create or update multiple placement records in one transaction*. In addition, you can leverage the flexible configuration options available in the standard deployment.

*Note: A maximum number of 500 Placements can be created or updated in one transaction.

This is part of a suite of applications designed to enhance Bullhorn functionality by introducing alternative workflows that offer efficiency outcomes through reduced clicks.

This feature is particularly useful for customers who manage a high volume of placements, such as in the light industrial or call centre industries. If you frequently handle large volumes of time-sensitive placements, the Mass Placement application is essential in helping you create batches of placements with common characteristics.

Example 1: Your team has received a time-sensitive staffing request for a crew of heavy machinery operators for the same location. Find your candidates from the Job Order and use Mass Placement to help you create the necessary placements, assigning common information for each candidate, such as location, start and end dates, or billing profiles.

Example 2: A client has asked you to extend the placement period of 35 waiting staff at an upcoming conference by 2 days. Simply select the relevant placement records and use the “Update Placements" action to set the new end date in one single transaction.

Enabling the Mass Placement Application

You must be live on a Bullhorn ATS or Bullhorn One system and have paid for the configuration of the application. This will include the enablement of the feature and the configuration of two custom mass placement actions (Create Placements and Update Placements). Additional configurations can be implemented at further cost.

Core Configuration

Although Bullhorn provides recommended configurations for the Mass Placement application, the solution offers configuration options to adapt to most business cases. You will work with the Bullhorn Professional Services team to implement a solution that fits your needs.

The custom actions will consist of a combination of configurations. The following are examples of configuration options:

  • Configure actions to create or update the placements
  • Define the list of fields to be updated or created
  • Set default values and overall field behaviors for the created or updated placement fields
  • Set filters to ensure the records meet your criteria, e.g., the status of the submission must be “Offer Extended.”

To enhance internal workflow efficiency, Bullhorn will add a new menu item to the Submission and Placement list views, giving easy access to pre-filtered lists sorted by Job ID.

Certain user-type entitlements on the standard Bullhorn ATS system allow bulk updates to some placement fields without requiring the Mass Placement Application.

Mass Placement Creation

The following steps demonstrate a typical Bullhorn One implementation for creating multiple placements, based on the application’s standard configuration. Depending on your set up, this may not exactly match what is shown below.

  1. From the Submissions List screen, select one or multiple submissions, then select Mass Placement Creation from the Actions menu.

    This will direct you to a screen where you can set defaults for all the placements that will be created. The Placement Defaults page is optional, and the fields displayed can be configured. You can match them to your field mappings, set default values, and make fields mandatory. You also have the option to extract data directly from the job record to pre-populate fields and make them read-only if necessary.
  2. Set or update any placement default field values as required. If you want to copy over Rate Cards from the job to the new placement record, select Yes next to COPY RATE CARDS?

    The Rate Card will only be copied if it has a status of “Current”. If there is no Rate Card, then the next future-dated Rate Card will be copied.

  3. Once you have completed the placement defaults, select REVIEW PLACEMENTS. This will present you with a list of all the placements that can be created. From this list view, you can use the pencil icon to edit individual placements in case of variations, such as amending a salary or placement fee, before triggering the creation.
  4. When creating the placements, it is possible to update fields on the entity that triggered the action, the Candidate record, and the Job Order record.


  5. Check the individual placements you want to create or check the box next to CREATE ALL PLACEMENTS to select all. Select the CREATE ALL PLACEMENTS button when you are ready to create the placements in bulk. The items will change from blue to green and become clickable links to the newly created placement records.

Mass Placement Update

The Mass Placement Update action works in a similar way to Mass Placement Creation but is actioned from the Placement List screen. The following steps demonstrate a typical Bullhorn One implementation for updating multiple placements, based on the application’s standard configuration. Depending on your set up, this may not exactly match what is shown below

  1. From the Placements List screen, select one or multiple placements, then select Mass Placement Update from the Actions menu.

    This will direct you to a screen where you can set defaults for all the placements that will be updated. The Placement Defaults page is optional, and the fields displayed can be configured.
  2. Update any placement default field values as required. When updating existing placements, the fields are typically not marked as required, allowing users to set values on specific fields leaving the remaining placement fields with their original values.
  3. To ensure all required placement information flows correctly to Bullhorn Time & Expense we do not recommend Bullhorn One customers use this application to set multiple placements to "Approved" status.

  4. Once you have completed the placement defaults, select REVIEW PLACEMENTS. This will present you with a list of all the placements that can be updated. From this list view, you can use the pencil icon to edit individual placements in case of variations, such as location, before triggering the update.
  5. Check the individual placements you want to update or check the box next to UPDATE ALL PLACEMENTS to select all. Select the UPDATE ALL PLACEMENTS button when you are ready to update the placements in bulk. The items will change from blue to green and become clickable links to the updated placement records.
