Using Bullhorn Automation to Send Birthday Wishes

Overview

One of the most basic messages we all love to receive each year is a "Happy Birthday" from those who know us. Did you know you can use Bullhorn Automation to keep your team up to date on candidate birthdays?

 

To get started you'll want to build out a Date based automation with the "Birthday" event. Luckily, Bullhorn Automation offers a blueprint to help you get started, or you can start it from scratch by selecting Birthday from the Center on date field drop-down:

For compliance purposes, the Birthday field is hidden from view within Bullhorn Automation, so it will not be visible for list building or advanced search. No need for concern though, Bullhorn Automation is still reading the data and will use that data to establish the event within the automation. Messages can be sent prior to the birthday by adding the wait step and email/notification step above the event. Or use an "On Day" wait step after the Birthday step to send an email message after.

Best Practice Advice

• As always, we recommend sending a test record through your automation to ensure it's working exactly as expected. Bullhorn Automation offers many options on how to achieve your end goal, as we want to make sure it's doing exactly what your team needs
• Sending the emails or notifications one day prior to the birthday at 11:00 PM can mean the user has this message in their inbox first thing on their birthday.
• Avoid the End Step for this automation; that way the Candidate's record can move back to the top of the automation the following year. See Date Based Automations for more information.
• Adding a one-week Wait Step at the top and the end of your automation may give you extra visibility on who has an upcoming birthday or a past birthday for the year.
• Candidates that have any missing birthday values will not be included in the automation.
• Due to timezone transitions within Bullhorn, Asian Pacific and Australian clients may see slightly altered dates. Please connect with Bullhorn Automation Support to cover this in greater detail.
