Choose a Notification Type in Bullhorn Automation
When you add a Send Notification step to an automation, you select whether the notification should be sent immediately, collected into a daily summary, or collected into a weekly summary. Each notification type handles content and customization differently, so choosing the right type determines what your internal users will see and when they will see it.

Send an Immediate Notification
Immediate notifications send an email to your internal user each time a record completes the Send Notification step. This type gives you the most control over the notification content.
You can personalize Immediate notifications using merge tags to include specific record details such as candidate name, placement dates, custom fields, and more. The default template includes basic merge tags to get you started, but you can add or remove merge tags to match your needs.
Once you’ve saved a notification as Immediate, you can't change it to a Daily or Weekly notification. If you need a different schedule, create a new notification step.
Use this type when you need to include specific record details in the notification, or when your team needs to be alerted as soon as a record reaches that step in the automation.
Send a Daily Notification
Daily notifications consolidate all records that complete the Send Notification step within a 24-hour window into a single summary email. This is useful when you want to reduce email volume while still keeping your team informed.
When you select Daily, check the blue description box in the notification setup for details about the collection window and sending time. Bullhorn Automation collects records throughout the day and sends the summary email at a fixed time. The sending time is hard-coded and cannot be changed.
The notification email uses a predefined merge tag box that auto-populates a list of records for the recipient. Because the Daily format is designed to display multiple records in a list, the content is handled differently than an Immediate notification.
If you remove the predefined merge tag box from the template, the notification will not populate and your recipients will receive a blank or incomplete email.
The information displayed in Daily and Weekly notification emails is hard-coded on the backend. The columns included vary depending on the automation type, but they cannot be customized or changed to display additional fields.
If you need to include specific record details in a notification, use an Immediate notification type instead. Immediate notifications support merge tags, which allow you to include any available field data in the notification email.
Send a Weekly Notification
Weekly notifications work the same way as Daily notifications, but the collection period spans one week instead of 24 hours. The sending day and time are hard-coded and cannot be changed.
The same column limitations that apply to Daily notifications also apply to Weekly notifications. The notification email displays a predefined list showing only the Name, Email, Phone Number, and ATS Link for each record. See the note in the Daily Notification section above for details and workaround options.
Troubleshooting
If your Daily or Weekly notification email is blank or missing records
Confirm that the predefined merge tag box is still in your notification template. Removing this box prevents the notification from populating. Open the notification in the Email Builder and verify the merge tag box is present.
If you need to show custom fields in a notification but they are not available
Daily and Weekly notifications do not support custom columns or merge tags. Switch to an Immediate notification type if you need to include specific record details such as placement end dates, job titles, or custom fields.
If a record appears in a Daily or Weekly notification after being removed from the list
Daily and Weekly notifications include all records that completed the Send Notification step during the collection period, regardless of whether they still meet the list criteria at the time the notification is sent. This is expected behavior. If you need real-time visibility into status changes, use an Immediate notification instead.
