Understanding How Variables Work

Variables are a way to pull information from Bullhorn Back Office and display it in an email or invoice template. Variables act as placeholders in templates, which are replaced by data from Bullhorn Back Office when the template is used. There are predefined Variables in Bullhorn Back Office which can be used in the Department and Messaging Tabs.

Variables can be found in the Department

In the Invoices tab of a Department (1), click on the question mark (2). This will display the available Variables (3) which can be used in the Invoice Description Lines.

In the Taxes/Emailing tab of a Department (1), when Send By is set to Email, the question mark becomes enabled (2). Click the question mark to display the available Variables (3), which can be use in the subject and body of the email used to send the invoice.

Variables can be found in the Messaging Tab

On the Messaging tab (1), select the sub-tab of Emails (2). From here select the Email Type you wish to display, and click the Pencil Edit (3) icon to expose the Edit Email popup. Click the question mark to display the available Variables (4), which can be use in the subject and body of the emails generated on the Messaging tab.

Variables can be found in the Control Panel

With Control Panel access, an Admin can set and modify default templates for invoices and emails using the available predefined merge Variables. These are found in the Communications area and the Settings --> Defaults area of the Control Panel.
