  3. On the Corporation record, select the Bank Accounts segment.

The grid displays the following information:

  • Recon Date: Reconciliation Date
  • Begin Bank Bal: Beginning Bank Balance at the time of the reconciliation.
  • Total Credits: Total amount of deposits and credits included in the reconciliation.
  • Total Fees: Total amount of penalties and fees included in the reconciliation.
  • Begin Recon Bal: Beginning Reconciliation Balance (Beginning Bank Balance + Total Credits - Total Fees).
  • Cleared Chks: Total amount of cleared checks.
  • Adjustment: Manual reconciliation adjustment (if any).
  • Ending Reconciliation Balance: Beginning Reconciliation Balance - Cleared Checks +/- Adjustment)
  • Ending Bank Balance: Bank Balance at the end of the reconciliation process.

Viewing Reconciliation Items

You can view item detail for a reconciliation record by clicking the radio button on the row of the reconciliation process for which you want to view detail. Click the View Items button. The items display in the Reconciliation Items grid.

Edit Reconciliation

You can edit the details of a reconciliation two ways:

  • Select a Reconciliation History (top grid) and click the Edit Reconciliation button above the top grid.
  • Select a Reconciliation Item (bottom grid) and click the Edit Reconciliation Item button.

Both options take you to the same screen. However, the second option already has the item selected. If you select the first option, you will need to perform a search to edit an item.

The Edit Reconciliation Details window has the following fields:

  • Corporation: This is read-only.
  • Bank Account: This is read only.
  • Reconciliation Date: You may edit this field by using the calendar control.

The date must not match another reconciliation date for this Corporation/Bank Account combination.

  • Remove Reconciled Item/Add This Item: Most changes you make to a reconciliation record are going to be due to reconciling the wrong pay item. These fields allow you to "un-reconcile" one pay item and reconcile another. If you are on the Edit Reconciliation Details window via the Edit Reconciliation Item button, then the "Remove" pay item is already selected. If you are here via the Edit Reconciliation button, then you will need to use the Find button to search for the pay item. Once you have selected the item to remove, click the Find button on the "Add this Item" side to search for the replacement pay item.

The two items should be the same amount or you will need to make a reconciliation adjustment (see below).

  • Beginning Balance: This is the beginning bank balance and can be edited.
  • Deposits & Other Credits: You may edit this field.

  • Fees & Other Charges: You may edit this field.
  • Starting Reconciliation Balance: This field is read-only.
  • Total Checks Cleared: This field is read-only and calculated based on the pay items in the reconciliation record as well as changes you made in the Remove/Add fields above.
  • Reconciliation Adjustment: If the Difference field (see below) is not zero and the other editable fields are correct, you will need to enter a reconciliation adjustment. In order to confirm your edits to the reconciliation detail, the difference between the Ending Reconciliation Balance and the Ending Bank Balance must be zero.
  • Ending Reconciled Balance: This field is read-only and is calculated from the Starting Reconciliation Balance by subtracting the Total checks Cleared and either adding or subtracting the Reconciliation Adjustment.
  • Ending Bank Balance: You may edit this field.
  • Difference: This is the difference between the Ending Reconciled Balance and the Ending Bank Balance. In order to save your changes, this amount must be zero. If it is not zero, you can edit the other fields on the window or enter a Reconciliation Adjustment.
  • Notes: This field is optional, but is handy for making notes about the changes made.

When you are satisfied with your changes, click Confirm.

Any pay item listed in the "Remove" area will change from a Reconciled Status of "Reconciled" to "None". Any pay item listed in the "Add" area will change from a Reconciled Status of "None" to "Reconciled".
