Export Data From Bullhorn Automation

Use this article to export candidate, sales contact, or company record data from Bullhorn Automation as a CSV file. Exporting gives you access to your data outside of Bullhorn Automation for reporting, analysis, or use in external tools.

You must be an Admin user to export data to CSV. If you are not an Admin, ask your Admin team to update your user role or export the data for you.

Common Reasons You Might Export Data

  • You need a list of contacts who have unsubscribed or bounced, for use in an external system.
  • You want to review which candidates or sales contacts engaged with a specific email campaign.
  • You need to share a segment of company records with a team that does not have access to Bullhorn Automation.
  • You are building an external report that requires data not available in Bullhorn Automation reporting.
  • You need a one-time snapshot of records that match specific criteria for a project or audit.

Export Candidate and Sales Contact Records

Candidate and sales contact records can be exported from a saved list or by building a custom search from the Contacts page in Bullhorn Automation.

From an Existing List

To export records from a list you have already saved, open the list from the ListsClosed A collection of ATS records that meets specified criteria, such as a scheduled end date or a low NPS response. page and click View Candidates / Sales Contacts. The Contacts page opens with the list applied as the active filter. Proceed to the Export Records section below.

From the Contacts Page Using Advanced Search

To define custom criteria for your export, use Advanced Search on the Contacts page to build and preview your record set before exporting.

  1. Click the Contacts icon on the left-hand menu.

  2. To export from a saved list, select Filter by List, choose your list, and skip to the Export Records section below.

  3. To build a custom search, click Advanced Search in the top right corner of the Contacts page.

  4. Select the record type you want to export. The default is Candidates. To export sales contacts, select Sales Contacts from the entity dropdown.

  5. Add your search criteria. Under Bullhorn Automation Activity, select Has Activity to find contacts who took a specific action in Bullhorn Automation.

    • For activities, select the specific email the activity came from.
    • For clicks and page visits, filter by link URL or page URL. You can also filter over a dynamic date range, such as the past X number of days.
    • The record count updates in real time as you add criteria.

Export Company Records

Company records can be exported from the Contacts page by applying a Company V2 List as the active filter. When a Company V2 List is selected, an Export to CSV link appears at the bottom of the page.

  1. Click the Contacts icon on the left-hand menu.

  2. In the Filter by List field, select a Company V2 List. The Contacts page updates to display the records associated with the selected company list.

  3. Navigate to the bottom of the page and click Export to CSV.

The Export to CSV option on the Contacts page appears only when a Company V2 List is the active filter.

Export Records

Once the Contacts page shows the records you want to export, navigate to the bottom of the page and click Export to CSV. You can export up to 50,000 records per export.

Any search you build on the Contacts page can be saved as a list for use in automations. Saved lists can drive enrollment, trigger notifications, apply field changes, and more. To save a search as a list, click Save as List after your search is populated.

Troubleshooting

If the Export to CSV option does not appear

Confirm that your Bullhorn Automation user role is set to Admin. The Export to CSV option is only available to Admin users. If you have Admin access and the option is still not visible, verify that the Contacts page has records loaded. The export option does not appear on an empty or unfiltered view.

If the Export to CSV option does not appear when using a Company V2 List

Confirm that the list selected in the Filter by List field is a Company V2 List. The export option for company records appears only when a Company V2 List is the active filter on the Contacts page. Candidate or sales contact lists applied to the Contacts page will not trigger the company export option.

If the exported file contains fewer records than expected

Review the criteria applied to your search or list. For Advanced Search exports, check each condition for conflicting or overly restrictive values. For list-based exports, open the list from the Lists page and confirm the record count matches your expectation before exporting.

What record types can I export from Bullhorn Automation?

You can export candidates, sales contacts, and company records. Leads, placements, submissions, and jobs can be viewed in lists within Bullhorn Automation but cannot be exported to CSV directly.

How many records can I export at one time?

You can export up to 50,000 records per export. If you need more than 50,000 records, apply additional criteria to break the export into smaller segments and run multiple exports.

Do I need a specific user role to export data?

Yes. Only Admin users in Bullhorn Automation can export data to CSV. If you have a standard User role, ask your Admin to update your role or export the data for you.

Can I save my search criteria before exporting?

Yes. After building a search using Advanced Search, click Save as List to save the criteria as a reusable list. The saved list is available from the Lists page for future exports and can also be used to enroll records in automations.

Can I automate an action instead of exporting data manually?

Yes. Any criteria you can build in Advanced Search can also drive an automation. Instead of exporting and processing records manually, use the same criteria to enroll records in an automation that handles follow-up actions, field updates, or notifications automatically.
