Using Variables in Email Messages

Overview

When creating email reminders via the Messaging tab or when updating the email templates in the Control Panel, you can use variables in the email messages to your managers and employees to help auto-populate commonly referenced details from records in Bullhorn Back Office.

Steps

  1. Navigate to the Messaging tab.
  2. Select the Emails sub-tab.
  3. Create a new email or edit an existing email by selecting Binoculars next to the message Subject.
  4. In the Email Editor locate the What is the email message? field and use the below variables when crafting your message:

    Note: When adding new merge Variables to the template, be sure to use the entire Variable exactly, which includes the open and close brackets.

    For use in ALL Email Types:

  5. Variable Definition

    [FIRM_NAME]

    Company name from the Control Panel

    [FIRM_SITE]

    Company website from the Control Panel

    [FIRM_PHONE_NUMBER]

    Company phone number from the Control Panel

    [APP_SITE]

    Usually the Vanity URL address, but can be another web address, as defined in the Control Panel

    [FROM_EMAIL_ADDRESS]

    From the Communication --> Email area in the Control Panel

    [COMPANY]

    Assignment/Manager's Company's Name

    [NAME]

    First Name + Last Name of the person to which the email is being sent

    [FIRST_NAME]

    First Name of the person to which the email is being sent

    [LAST_NAME]

    Last Name of the person to which the email is being sent

    [EMAIL_ADDRESS]

    Email address of the person to which the email is being sent

    [USERNAME]

    User name of the person to which the email is being sent

     

    For use in ALL Unsubmitted Email Types:

    Variable Definition
    [TIMESHEET_STATUS One line for each timesheet. Looks like Timesheet Status : StartDate-EndDate

     

    For Unsubmitted Current Period only:

    Variable Definition
    [TIMESHEET_ENDING] Inserts the period end date of the timesheet

  6. Once you are done drafting your message, select Save to confirm your changes.
