Benefit Programs

You can check on program enrollment and enroll employees in two ways:

  • Individually: By accessing the employee record, you can quickly see which programs the employee is enrolled in (both actively and inactively) and enroll the employee in a new program.
  • Group Add: By using the Benefit Program Participation widget, you can quickly get an overview of employees enrolled in a program, not enrolled in a program, etc. You can also enroll multiple employees into a program en masse.

The Benefit Programs page lists all benefit programs in which the employee is enrolled (whether actively or not). You can also commence the Add, View/Edit and Recalculate workflows from here.

The Benefit Programs grid lists all benefit programs in which the employee is enrolled (whether currently active or not). The following information is displayed in the grid:

  • Corporation: The Corporation with which the program is associated.
  • Program: The Program name.
  • Active: Indicates whether the employee is currently active on the program.
  • Accrued: Identifies the total hours accumulated by this employee toward the program for the current accumulation period.
  • Total Available: Identifies the amount of incentive earned, but unused by the employee.
  • Accum Period: Identifies the current accumulation period.
  • Last Earned: Indicates the last time the employee earned an incentive award for this program.
  • Last Calculated: Indicates the last time any kind of calculation was done on this program for this employee.

Search results can be filtered by using the Search Box above the grid. Keep in mind: If you add multiple filters, they are treated as AND searches and the program must meet ALL of the criteria entered.

To filter the results:

  1. From the Benefit Programs page, click Search.
  2. If you want to remove all previous search criteria (except Corporation), click Clear.
  3. The Benefit Programs Modify Search window displays.
  4. In the Corporation field, use the drop-list to select the specific corporation for which you want to show associated incentive programs. The drop-list is filtered to only show those corporations for which the employee has a payroll tax record. This field is REQUIRED.
  5. In the Program Name field, use the droplist to select the specific program for which you want to search. The list is filtered by the Corporation field and only shows those programs associated with the corporation. If you do not want to search for a specific program, make sure -–Selected— is in the field.
  6. In the Accumulation Begin From and Accumulation Begin To fields, enter a date range for the Accumulation period associated with the program for which you want to search. If you do not want to search by accumulation period, leave the fields blank.
  7. In the Last Calculated From and Last Calculated To fields, enter a date range for the Last Calculated date associated with the program for which you want to search. If you do not want to search by calculated date, leave the fields blank.
  8. In the Active field, place a check in the box to search for programs in which the employee is actively enrolled. Leave the box empty to find inactive programs. Clicking on the box toggles it between checked and unchecked.
  9. When you are satisfied with your search parameters, click Find.
  10. The Benefit Programs grid displays your search results.

You can initiate the following workflows from the Benefit Programs page:

    • To enroll the employee into a new program, click Add.
    • To view and/or edit the employee’s participation in an existing program, select the program (by clicking on the radio button to the left side of the programs row) and click View/Edit.
    • To see details about the program’s record in the Administration area, click the Program Name in the Program column.
    • To recalculate accrued totals due to a change in a program, click Recalculate.
