Overview

Mimecast is an email management software that may be used in conjunction with your normal email client: Microsoft Exchange or Microsoft Office 365. If you are having email tracking issues in Bullhorn and use Mimecast, follow the steps outlined in this article to potentially resolve the issue.

How Mimecast Affects Bullhorn

A common issue we have seen with Mimecast is that it prevents inbound, externally sent emails from tracking into Bullhorn. Depending on the type of setup, this could potentially impact all types of tracking. The cause of this issue is that the email header is being altered in such a way that when it hits our tracker, we can’t decipher who this email is designated for and therefore do not parse the email or track it.

The alteration of this email is due to an email “Stationary”. This is a message stating that Mimecast has successfully scanned the email for threats and resembles the following:

The way to counteract this is to add a policy in Mimecast that excludes this stationary from any email that is designated for the Bullhorn tracking.

Enablement Steps

These instructions are intended for an IT professional. You may need to involve your IT rep.

  1. Log into the Mimecast Administration Console.
  2. Navigate to Gateway->Policies.
  3. Scroll down to Stationary Exclusionand open the setting shown below.
  4. Within the Stationary Exclusion - Updatetab, make the following changes (you may have to clickNew Policyto enter this window):
    • Options
      • Policy Narrative - "Bypass for BH Tracker"
      • Select Option - "Exclude Stationery from Email"
    • Emails From
      • Address Based On - "Both"
      • Applies From - "Everyone"
      • Specifically - "Applies to all Senders"
    • Emails To
      • Applies To - "Email Domain"
      • Specifically -
      • For example: sl23tracker.bullhornstaffing.com
    • Validity
      • Enable/Disable - "Enable"
      • Set policy as perpetual - "Always On"
      • Date Range - "All Time"
      • Policy Override - Checked
      • Bi Directional - Unchecked
      • Source IP Ranges - Leave blank
    • When you enter all of the above information it will look like the below image:
  5. Save the above changes. You will then be returned to the policy screen where you will see the following:

This will now be completed and the effects will be almost immediate. You should now begin seeing email tracking on inbound emails.
