Sending a Mass Mailing
Use mass mailings to email a large group of candidates, contacts, or leads directly from Bullhorn. Mass mailings are sent from a distribution list — if you don't have one set up yet, follow the steps below to create one first.
Create a Distribution List
If you already have a distribution list ready, skip ahead to the Send the Message section.
-
Go to Menu and select the Candidates, Contacts, or Leads list view.
-
Run a search to find the people you want to email.
-
Select the checkboxes next to the records you want to include.
-
Click Selected > Add to Distribution List at the top right of the screen.
-
In the window that appears, select New Distribution List, complete the fields, and click Save.
Your distribution list is now ready to use. To build a distribution list from an existing tearsheet instead, see Converting a Tearsheet to a Distribution List.
Send the Message
-
Go to Menu and select Distribution Lists.
-
Use the drop down arrow next to Distribution Lists to select the list you want to email.
-
If needed, use the search bar at the top right to find your list by name.
-
Click the Select All checkbox in the column header.
-
Click the Selected button and select Email All.
-
Compose your message and click Send. For guidance on composing your message, see Composing a Message
After sending, you'll receive a confirmation email containing the message you just sent. You'll also see an on-screen notification listing any recipients who didn't receive the mailing due to an invalid email address or opt-out status.
The confirmation email you receive will look slightly different from the version sent to your recipients. Your recipients receive the message from your primary email address, with any personalization codes replaced with the relevant information.
Tips and Best Practices
-
If any records on your distribution list have a blank or incomplete email address, you'll receive a list of those records so you can correct them before resending.
-
Mass mailings are sent from within Bullhorn and won't appear in your email client's Sent folder. Replies will arrive in your inbox as normal.
-
Bullhorn automatically adds an opt-out message to any mass mailing sent to more than ten recipients. If a recipient has opted out, they won't receive the email.
-
The opt-out message reads:
This email was sent to (recipient's email), by (sender's name).
To remove your email address permanently from future mailings, please click here.
-
-
Bullhorn logs mass mailings as a Note with the Email action type, referencing every recipient's record. This makes the note available on the Notes tab of all referenced records.
-
If you're including images in your mailing, host them externally and insert them via URL rather than uploading them directly. Uploaded images may not display correctly in all email clients and can increase the likelihood of your message being marked as spam.
FAQ
Why can I only send emails to a limited number of recipients?
The maximum number of recipients you can include in a single mass mailing is controlled by your user type entitlement — options are 50, 200, or 500 recipients. Contact Bullhorn Support if you need your limit increased.
Why can't I see emails sent by other users?
Viewing email messages sent by other users in your organization requires the View Any Message user type entitlement. Contact Bullhorn Support to enable this for your user type.
