Add Task Step

The Add Task step lets you automatically create a task for the candidate or contact Owner in Bullhorn ATS. This step helps improve efficiency and accountability by making sure actions are assigned and visible to the right people.

When a candidate or contact reaches the Add Task step in the automation, a task is automatically created for the record owner. The due date and time will be set to the moment the record completes the Add Task step. You can also choose to notify the owner when the task is added, ensuring prompt action.

Adding the Add Task Step

Place the Add Task step at the desired point in your automation workflow.

Configure the following settings to customize the task:

  • Subject and Body:
  • Task Type:
    • Select a task type from the dropdown menu, which pulls from the System Setting taskTypeList in the ATS (e.g., Follow-Up, Interview, Document Review).
  • Add Reminder (Optional):
    • Check this box to add a reminder to the task. The reminder is automatically set for 5 minutes after the task is created.
  • Assign to Owner:
    • If Assign to Owner is checked, the task will be assigned to the Candidate/Sales Contact owner.
    • If Assign to Owner isn't checked, you can search for and assign the task to a specific user.

To notify the assigned user, include a Send Notification step immediately after the Add Task step. This ensures the user is alerted when the task is created.

Use Cases

  • Follow-Up Assignments
    • Automatically assign follow-up tasks to owners when a candidate or contact completes a specific step in an automation.
    • Example: After a candidate submits a survey, a task is created for their owner to review the results.
  • Scheduling Interviews or Meetings
    • Automate task creation for recruiters to schedule interviews or follow up with contacts.
    • Example: Once a contact expresses interest via a survey, a task is created for their owner to schedule a meeting.

The Add Task step ensures critical actions are assigned and documented in the ATS, helping you stay organized and efficient. By leveraging this feature, you can streamline processes, improve communication, and ensure no important steps are missed.
