Adding Automation Steps

Automation steps are the building blocks of your workflows, enabling you to automate key tasks with precision. This guide explains how to add, organize, and customize steps within Bullhorn Automation, allowing you to create streamlined processes that save time and maintain consistency across recruiting, onboarding, credentialing, and other functions. With the right steps in place, you can ensure that Bullhorn Automation works effectively to meet your team’s unique needs.

Automation Enrollment

The Automation Enrollment step is always the first step. Here a new list can be created, or an existing list selected to control who enters the campaign:

  • Create New List or Select Existing Lists: These are the contacts that should be in this campaign. There can be one or multiple lists here. If a contact is in multiple lists, they’ll only enter the campaign and get their emails once.
  • Suppression list(s): These are the contacts that shouldn’t be in your campaign. There are a number of reasons to use this, two common ones are:
    • Contacts who may be in multiple lists spread across multiple campaigns and you only want them to get one message. For example, someone could be in your Java list and your Developer list, but you only want them to get the Java emails.
    • Contacts who have been placed or are now in process, but your original search didn’t exactly cover that. For example, if you don’t want the candidates who are interviewing to receive your passive candidate re-engagement messages.

The Enrollment Step displays the number of contacts from the list that are active within the automation. Click the i icon to see more details:

Click Edit Enrollment for options to create a new list, add an existing list, or remove lists:

After updating lists, click Save to save your changes.

Adding Steps to an Automation

To add new steps to an automation, click the + icon and then select the type of step you want to add. Anytime you add a step, it will be added to the campaign immediately. This allows you to quickly create the entire campaign, and you can go back and edit the steps later.

Step Options

Hover over any step (except for End Step or Enrollment Step) to access the Options drop down.

From this menu the available for that step will show. Not all options listed below are available for every step:

  • Edit
  • Deactivate
  • Delete
  • View the Advanced Stats
  • Convert an Email step to an A/B Test.

Advanced Stats

Super Users have access to view Advanced Stats for a step. Here, you can see the status of people who have entered the step.

  • Paused: Waiting for a certain timeframe to go through the automation. The step they are paused at is the step they’ll continue from.
  • Removed: Has been taken out of the automation at that step.
  • Completed: Has finished that step.
  • In Progress: In the process of going through that step.

Click the hyperlinked number to see a list of people and the date they entered the step.
