Master Departments

Overview

Similar to Open Departments, employees are allowed to clock into other departments as needed at the clock. The biggest difference is that department details may vary based on the department an employee uses.

Prior to loading employees, Master and Child Departments must be defined in Bullhorn Time & Expense.

Master Departments set the assignment details and Child Departments inherit and apply those details when needed.

  • A single Master Department may have as many Child Departments associated with it as needed.
  • When loading employees to Bullhorn Time & Expense, employees must be assigned to at least one Master Department with valid assignment details.

It is vital that employees be assigned to all possible valid Master Departments to ensure that Child Departments in play are able to find assignment details as needed.

Using the Clock

This process is virtually the same as using Open Departments on a clock. In this example, Victoria is prompted to choose the department that she is working at the time. Touch screen clocks like Tempo and Cloud Clock allow her to enter a department number to search for matching departments as well as offering a choice among a limited number of available options on the screen. Push button clocks like Pendo and Optima require that Victoria enter a valid department number to clock in.

Although the clock will allow an employee access to all active departments, if the employee selects an option that is neither an assigned Master nor associated Child Department, the payroll process could be impacted.

Time Management Console Adjustments & Reporting

In this regard, Master Department rules are again similar to Open Departments. The special pay rules that drive Master Departments will allow administrators to make time card adjustments for Victoria against any available department. If the administrator makes an adjustment against a department assigned to Victoria as a Master Department (like Department 10, 20, or 30 in the diagram above), the assignment details like assignment number as well as pay and bill rate will pick up directly from that department.

Pay and Bill Details

Reporting information adjusts in a manner similar to Open Departments. If Victoria punches into an assigned Master Department, assignment details like rate and assignment number are pulled directly from that record.

If Victoria records time in a Child Department, assignment details are pulled from an assigned Master Department.

Attempts to gather assignment information may fail if an employee records time against a department that is neither an assigned Master Department nor an Child Department associated with any assigned Master Department.
