Track CVs Sent in Bullhorn Analytics

This article outlines how CVs Sent are tracked in Bullhorn Analytics.

Tracking CVs Sent Via the Shortlist Section

There are multiple ways to track CVs Sent in Bullhorn Analytics, but the default and recommended setup is using the Shortlist section of Bullhorn ATS.

Each time you move a Candidate to the CV Sent stage from this section, or add a CV Sent through the Actions menu, this feeds that CV Sent record to Analytics and it will show in the relevant CVs Sent metric.

Any CV Sent in Bullhorn ATS with a Job referenced against it is considered a standard CV sent record and will show in the CVs Sent metric by default. If a CV sent record is not linked to a Job and has the Job field left blank, this is considered a Spec or Speculative CV and will show in the Spec CVs Sent metric.

Both CVs Sent and Spec CVs are combined into the Total CVs Sent metric by default, unless you choose to change this later on.

Steps

  1. Go to the Shortlist section in Bullhorn ATS.
  2. If the candidate is already shortlisted, all you need to do is to click on the Shortlist Status field and move them to the CV Sent stage.
    This will open a separate view where you'll need to fill in all the required details and follow the onscreen steps to move the candidate to the CV Sent stage.
    • If the candidate is not already shortlisted for the Job, add a CV Sent through Actions > Add CV Sent. This will open a separate view where you'll need to fill in all the required details and follow the onscreen steps to save the change.
  3. The CV Sent record will be sent to Analytics and will show in the relevant CV Sent metrics.

If you are sending a CV that is not in relation to any particular Job, send a CV using the steps above, and make sure to leave the Job field blank. The record will show as a Spec CV in Analytics and will appear in relevant metrics

Tracking CVs Sent via the Notes Section

CVs Sent can also be tracked in Bullhorn Analytics via the Notes section in Bullhorn ATS. This is not a default or recommended workflow because a Note does not show the same level of information as a CV Sent via Shortlist section.

To track a CV Sent via Notes, you need to log a note of relevant type (e.g. "CV Sent", "Client Submission", etc) against the Candidate or Client Contact. If your Analytics system is set up to track CVs Sent via Notes, and the Note type is being listened to by your system, it will feed into the relevant metrics.

If you'd like to set up your Analytics system to track Speculative CVs via Notes, contact the Analytics Support team letting them know the Note type(s) you use to record Speculative CVs Sent. They will map this into your system so that Notes logged with that type will show in the relevant metrics.

If you would like to track a new Note type in Bullhorn Analytics, or if you'd like to change the existing ones, contact Support.

Steps

  1. Add a new Note in Bullhorn ATS via Actions > Add Note.
  2. Fill in the relevant information on the Add Note view:
    • The About Who field should contain the person you'd like this to show against in Bullhorn Analytics.
    • A Note can only be logged against a single Contact or Candidate in the About Who field. The note will not be logged against people in the Additional References field.
  3. Select the Action Type that your Analytics system recognizes as a CV Sent Note.
  4. Save your changes. This will send the Note record to Analytics, where it will show in the relevant metrics.
