Converting a Tearsheet to a Distribution List

Learn how to convert a Tearsheet to a distribution list so you can send a mass mailing.

"Tearsheet" is the default name Bullhorn uses for this list, but your database may use a different name, such as Hotlist. A Bullhorn Admin can change this under Menu > Admin > Entity Titles > Shortlist.

Why Convert a Tearsheet to a Distribution List?

You only need to convert a Tearsheet when you want to mass email its members.

If you mass mail directly from a Tearsheet and any member has a missing or incomplete email address, the message may fail to send entirely, and Bullhorn won't tell you which records caused the failure. Converting to a distribution list first avoids this: Bullhorn automatically removes recipients without a valid email address instead of failing the whole send.

Converting a Tearsheet to a Distribution List

Distribution lists shouldn't contain more than 500 recipients, because a mass mailing can only go to up to 500 recipients at once. If your Tearsheet has more than 500 records, create a separate distribution list for each block of 500. For example, a 2,000-person Tearsheet needs four distribution lists.

  1. Go to Menu > Tearsheets.

  2. Next to the Name column, click the Filter icon.

  3. In the Filter field, type the name or keyword for the Tearsheet you want.

  4. Select the Tearsheet's name to open it.

  5. From the Items Per Page drop down, select 200 per page.

  6. Click the Select All checkbox.

  7. Click # Selected, then select Add to Distribution List.

  8. On the Add to Distribution List window, under Add To, select New Distribution List.

  9. Enter a name for the new distribution list, and complete the remaining fields.

  10. Click Save.

If your Tearsheet has more than 200 records, repeat steps 5–10 for each page until every record has been added to a distribution list.
