Exporting Document Responses

Overview

This article covers how to export the onboarding document responses and field data to an Excel spreadsheet.

Before You Begin

Admin Permissions

You must have the Document Export permission enabled on your Admin record to be able to perform this task.

Onboarding Columns

To get a quick overview of document status and to make searching for employees with onboarding documents easier, it is recommended that you add the Submitted, Approved, and E-verify columns to the Employee list view:

Steps

Exporting Responses

  1. Navigate to the Employees tab.

  2. Select the employee(s) whose data you would like to export.
    • If you are selecting multiple employees, they must have onboarding documents in common.
  3. From the Actions/# Selected menu, choose Export Responses.

  4. In the Export Responses popup, you will see a list of all the documents eligible for export.
    • If you selected multiple employees, only the documents they have in common will appear.

    For each document you can select:

    • Export Responses from Selected Candidates: only the results for the candidates selected in step 2 will be exported.
    • Export Responses from All Candidates: results for all candidates who have completed the form, whether you selected them or not, will be exported.
  5. You can also specify which fields for each document you want to export:
    • Expand the document field selection by selecting the document name or the .
    • In the Field Name column, uncheck any fields you don't want included in the export.
    • In the Column Name in Report field, you can change the name of the column header.
  6. When you are ready to export the responses, select Export to Reports.
  7. A confirmation message will appear in the upper-right.

Report Results

After setting up the export, the next step is to pull the results.

  1. Go to the Reports tab.
  2. Select the Results tab.

  3. Your report will display on the Report Results list with a title of "Export Responses".
    Open the report by selecting download documents in the Documents column
  4. The report will download to your computer where it can be opened and reviewed.
