Candidate ATS v1: Kanban Board

This article applies to ATS v1s using the ATS v1 data model only.

Overview

The CandidateClosed A person looking for a job. A candidate can also be referred to as a Job Seeker, Applicant, or Provider. ATS v1 Kanban Board displays all of the JobsClosed A job (vacancy, position, role) is an opening for which a customer's client needs a placement. that a single Candidate has been applied to in the form of cards. The JobClosed A job (vacancy, position, role) is an opening for which a customer's client needs a placement. information on these cards is customizable. The cards are ordered in columns, sometimes referred to as swimlanes, that represent the application stages: Long ListClosed Name of a BH4SF custom object. It 'captures' Candidates that look like a good match for a Job, before the actual hiring process begins. It's like a list of potential candidates (optional), ApplicationClosed First stage of Job placement flow (Application> Submittal>Interview>Offer> Placement), SubmittalClosed The Second Stage of Job application flow. This is when the recruiter sends the Candidate CV to the client, a sort of first introduction., Send OutClosed The third Stage of Job application flow. This is when the recruiter sets up a job interview between Candidate and Client., OfferClosed The fourth Stage of Job application flow. This is when the candidate is offered the position (details about salary, locations etc are shared and candidate decides if he wants to take the job), and Closing ReportClosed Fifth Stage of Job placement flow, a Candidate that reaches the Closing Report Placement stage has been assigned to a job. In BH4SF, a 'Closing Report' is a record that captures all the information related to the newly filled position (name of Candidate, position, salary, start date, which recruiter gets credit for the hire etc.). This article reviews the features of the Kanban Board.

Kanban Layout

  1. Candidate Name: Click on the Candidate's name to change the Candidate you want to see. Hover over the Info icon to see a pop-up of the Candidate record. Click the Info icon to navigate to the Candidate's record.
  2. Job Application Stage: Each column represents a Job application stage. The column header shows the name of the stage, and in brackets, the number of Jobs for that stage. If there are Jobs in the column that have been selected (to be moved, rejected, etc.), that information is also displayed in the column header.
  3. Job Cards: Each Job that a Candidate has been applied to is represented by a card that displays basic details about the Job. The card also includes action buttons for moving the Candidate through the recruiting process.

There are customization options for the way data is displayed on cards and columns on the ATS v1 Kanban Board. See ATS v1: Customize the Kanban Board for more information.

Moving Candidates

If you are focusing on one Job at a time, you can drag-and-drop the card representing that Job to a different column to place them in a different stage. Dragging and dropping is only allowed for moving a Job forward to a new stage. To move a Job back, use the action button.

When the Job card is moved successfully, you will receive the following message: The CardClosed If in the context of ATS, a 'card' or 'tile' is the visual representation on the ATS board of a Candidate at various stages of the application process Ordering has been updated successfully. If a card move is not allowed, you will receive an error message.

If you want to select more than one Job at a time or perform any mass action, use the ActionClosed When used in ATS or Search and Match UI, one of multiple actions available after user has selected a sub-set of Candidates Toolbar. See Job ATS v1: Actions Toolbar for more details.

Action Buttons

Use the Move Back icon to use this to move your Job card back a stage. Job cards can only be moved back to the previous stage. Move Back is not allowed from Application or Closing Report.

Use the Move Forward icon to move your Job card forward to any stage past the current stage.

Clicking the red "x" on a Job card will reject the Candidate and prevent them from progressing any further in that Job's application process. The Job card will remain in the same stage, but with a Status of Rejected and a red sidebar. Note that no further action is possible unless the option to Undo Reject is selected.

Reject is not available for Jobs in the Long List and Closing Report stages.

If you want to Undo Reject for any of the rejected Job cards, click the Undo Reject icon . This is only visible on rejected Job cards.

The Delete icon is only available for Job cards in the Long List stage.

The Information icon allows you to view Candidate's Stage record for the Job. For example, if you click this icon of a card in Submittal, then the pop-up will show you the Submittal record that was created when the Job card was moved to Submittal.

Inline editing is possible in the pop-up so that you're able to update the record without leaving the Bullhorn ATS.

Admin Note:

It's possible to hide the Information icon on cards. Follow the steps inATS v1: Customize the Kanban Board to access the Custom Metadata Type SwimlaneClosed Clusters, or Swimlanes, are servers that hold our customer's databases, each cluster is like an apartment building and each customer's database is like an individual apartment. Config and deselect the Show Info Button checkbox for the desired stages.
