Automation Metrics

Overview

Automation metrics provide a look into your automation data. This article outlines the two types of Automation Metrics as well as frequently asked questions:

Aggregate Automation Metrics

This will show aggregate metrics for all automations that have had steps completed within a specified time frame, and includes active and paused automations.

  1. To access this set of metrics, navigate to the Automations tab
  2. Click View Metrics in the upper right hand corner.
  3. Choose the Date, Automation Type and Groups to filter by.
  4. Once you have selected your criteria, a list of automations will display. The data presented will be divided into three sections:
    • Summary Metrics
    • Email Metrics
    • Text Metrics
  5. Click the title of any automation to view the individual metrics for that automation.

Summary Metrics

Summary Metrics are calculated from the completed steps in all automations matching your filter criteria.

Metric Description
Total Count All records that have entered​ or ​started an automation over the given ​dates.
Email Steps The number of email steps completed.
Text Steps The number of text message steps completed.
Survey Steps The number of survey steps completed.
Field Updates The number of fields that have ​been​ updated.
Notifications The number of notifications sent.
Tasks The number of tasks created.
Notes The number of notes added.

Email Metrics

Email Metrics are calculated by matching your filter criteria to the associated activities. Activities are only included if they originated from an email that was sent during the given time frame.

Metric Description
Total Emails All emails sent from matching automations over the given dates.
Opens The number of emails opened from matching automations over the given dates.
Clicks The number of emails ​clic​ked​ from matching automations over the given dates.
Bounces The number of hard email bounces from matching automations over the given dates.
Unsubscribes The number of unsubscribe requests from matching automations over the given dates.

Text Metrics

Text message metrics are calculated by matching your filter criteria to the associated activities. ​Activities are only included if they originated from a text message that was sent during the given time span.

Metric Description
Total Texts All text messages from matching automations sent over the given dates.
Responses The number of text responses received from matching automations over the given dates.
Clicks The number of click​s​ in texts from matching automations over the given ​dates.
Bounces The number of hard text message bounces from matching automations over the given ​dates.
Unsubscribes The number of unsubscribe requests from matching automations over the given ​dates.

Export to PDF or CSV

You can export data to either a PDF or CSV file. To do this, select:

  • Export to PDF: to save a PDF copy of the entire metrics page for future reference.
  • Export to CSV: to generate a CSV file containing the metrics in the Summary Metrics portion of the data set.

Individual Automation Metrics

This will show you metrics for a specific automation.

  1. Navigate to the Automations tab.
  2. For your chosen automation, click on Actions.
  3. Select View Metrics from the drop down.

Another way to access individual metrics is to click inside an automation and select View Metrics from within the automation.

Email Stats

Metric Description
Active Contacts The total number of contacts that are still active in the automation.
Emails Sent The total number of emails sent from within the automation.
Email Open Rate The percentage of emails opened by contacts that were sent from the automation.
Email Click Rate The percentage of contacts that have opened any link in an email that was sent out by the automation.
Job View Rate The percentage of email recipients that have clicked on a job link in the emails that were sent from the automation.
Bounce Rate The percentage of bounced emails in the automation.
Unsubscribe Rate The percentage of contacts that have unsubscribed from emails in an automation.

Email List

A red circle with a line through it to the right of the email indicates that it has been deleted.

Select View More Stats under the title of the email to expand the individual stats for that email.

View More Stats

As a summary near the bottom, or expanded with additional details for each email, you will see the following data in relation to the email campaigns.

Metric Description
Clicks

The number of clicks​ in emails from matching automations over the given ​dates.

Below the total number of clicks, each unique link is listed with the number of times it was clicked. Recipients can click links multiple times and click multiple links in the email, adding to the total.

Page Views The number of additional pages viewed on website folllowing a click inside the email.
Job Views The number of Job pages viewed on website folllowing a click inside the email.

 

In order to see metrics for Page Views and Job Views your Website Tracking must be set up correctly.

FAQ

Where can I find more information on the Email Metrics, explaining what the terms mean?

You can find what constitutes specific website and email actions from your Settings Page.

Why doesn't my Click Rate and Job View rate match the “View More Stats” on an email?

In the scenario below, these numbers don't match up because the total summary for the email shows how many emails have had a click (Click Rate), whereas View More Stats will show you how many times the links have been clicked. The same applies for the Job View Rate.

Is there a way to select a time period for Automation metrics?

The easiest way to do this is to use the Advanced Search in the Contacts tab. There you can pull information from any time period and criteria you're looking for. The article Building Lists based on Bullhorn Automation Activity talks about this in more detail.

Is there a way for me to see which emails were sent to a specific contact and if there was any activity?

You can look at an individual contact’s activity by entering their email address into the Search Contacts box in the top left corner of Bullhorn Automation.

Is there a way for me to see which contacts/candidates have clicked or viewed something in an email?

You can do this by running a search with the following criteria under Contacts > Advanced Search.

You can make this search more specific by including the name of an automation, email, and URL located in the email.
