This article contains information about viewing and managing Contacts in Bullhorn Automation.
Viewing Contacts
Contacts Tab
Within the Contacts tab you can use the Advanced Search button to filter Contacts by criteria such as record type, lists they are on, etc. The number of records matching the search displays in the bottom left corner. You can save searches for quick access.
Select a record from the search results to open their Contact Card.
Use the Advanced Search to test your list logic prior to building a new list. You can run a search using your chosen criteria to see which Contacts are returned. If you like the results, you can save it as a list.
Contact Card
The Contact Card shows you information about an individual Contact, including:
- Bullhorn Automation Score
- Activity feed
- Shows recent activity in chronological order, and can be filtered for specific activity types.
- Automation and List membership
- Top five matching Jobs
- This is a useful way to test if automations for Jobs are working properly.
- Additional details about the contact.
- Full history of the contact’s Bullhorn Automation activity.
- Mailable/textable status.
Phone Numbers
Contacts’ phone numbers will not always display exactly as they do in the ATS. This is because Bullhorn Automation parses the number to remove formatting and separate the country code, so that text messages can be sent in an acceptable format.
For Australia and New Zealand, Bullhorn Automation only keeps a maximum of nine digits and trims the numbers before that. 0 is removed.
Managing Contacts
Add a Contact to Bullhorn Automation
Bullhorn Automation syncs Candidates and Sales Contacts automatically from Bullhorn ATS. This sync only works one way, so you cannot create Contacts/Candidates directly in Bullhorn Automation and have them appear in the ATS.
Check a Contact’s Mailable Status
Follow these steps to check a Contact’s mailable status:
- Navigate to the contact’s Bullhorn Automation profile.
- Scroll down and click Additional Details.
- Check the Mailable Status field. If they've unsubscribed, opted out, or had an email bounce, then this will be set to No.
Unsubscribe a Contact from Emails
Follow these steps to unsubscribe a Contact from Bullhorn Automation emails:
- Navigate to the Contact/Candidate record in Bullhorn ATS.
- Select the Bullhorn Automation tab.
- Select the Stop Sending Bullhorn Automation Emails option.
- After selecting this option, they will no longer receive emails sent via Bullhorn Automation, even if they are part of a list.
Merge Duplicate Records
If there are duplicate candidates or contacts in Bullhorn Automation, merge the records together in Bullhorn ATS. The duplicate will be removed from Bullhorn Automation after a manual sync or standard hourly sync. These records will also be removed from the preset Duplicates list.

Remove a Contact from Bullhorn Automation
To remove a Contact from Bullhorn Automation, simply archive their record in Bullhorn ATS.
If the record only exists in Bullhorn Automation and not in Bullhorn ATS, use Bullhorn Automation’s import tool and set the IsDeleted column to "TRUE". This will remove the Contact from all lists they are associated with.
