QuickBooks Web Connector Best Practices

Overview

The Web Connector is a QuickBooks Desktop add-on that enables web-based applications, such as Bullhorn Back Office, to exchange data with QuickBooks.

This article will cover best practices for running the QuickBooks Web Connector.

Best Practices

Run the Web Connector in Single User Mode

QuickBooks allows for multiple people to be logged into the same company file at a time. This can cause issues for the Web Connector if other users are accessing data that is being read or written to during the export.

Close any open invoices or reports

Open invoices, reports, or anything else accessing data while the Web Connector is running may cause the export to fail. At most, only the Home screen and the Web Connector application should be open.

Export Data from One Entity at a Time

Exporting data from different entities, such as sending timesheets and invoices at the same time, has been known to cause issues with the Web Connector. For best results, run the export invoices, timesheets, and vendor payables separately.

Have a Steady Internet Connection

Having a slow or unsteady internet connection increases the likelihood of an export failing.

If you have an slower connection, try sending fewer timesheets or invoices over at a time.

Don't Use Auto Run

The Web Connector has an Auto Run option that allows you to automatically send items over to QuickBooks at timed intervals. The Web Connector can take a long time to run and if it attempts to send another export while one is in progress, it can cause the Web Connector to freeze.
